From Lead to Booked Job in Wraptor: How to Handle Wrap Shop Leads Without Losing One

How to handle wrap shop leads from first inquiry to booked job: where directory, website and email leads land in Wraptor, working the Leads page, quoting a lead, confirming bookings, and what customers receive.

From Lead to Booked Job in Wraptor: How to Handle Wrap Shop Leads Without Losing One

To stop losing wrap shop leads, keep every inquiry in one list, answer the customer who has waited longest first, and move each lead to a quote, a job or a booking before you close for the day. In Wraptor, directory requests, website quote forms and email inquiries all land on the Leads page, where you message the customer, click Create quote to price the job with the customer and vehicle already filled in, or click Convert to job. Online booking requests wait in Scheduling → Online bookings for you to confirm.

The short version

  • •One list, oldest first. The Leads page puts every customer still waiting on your first reply under Needs your reply, longest wait on top.
  • •Three doors feed it. Requests from your FindAWrap directory listing, quote forms and estimates on your website, and inquiries emailed to your WrapMail address.
  • •Never retype a lead. Create quote and Convert to job carry the customer, the vehicle and their photos forward.
  • •The quote remembers what they asked for. A What they asked for card shows their message, form answers, photos and any price range they already saw.
  • •Bookings wait for your Confirm. Customers pick a time or a preferred date on your booking page, with a deposit if you set one.
  • •Customers get emails, not texts. Every automatic message is a row under Settings → Communications → Customer messages, with its own switch.

Why wrap shops lose leads

Most lost leads aren't lost on price. They're lost between channels: a directory request in one inbox, a website form in another, a message on someone's phone, and nobody whose job it is to answer all three. Then come the slow first reply, the details retyped wrong into a quote, and the quote nobody follows up.

The fix is a routine: every inquiry goes into one list, someone owns that list, and each lead leaves it as a quote, a job, or parked on purpose. Speed matters more than polish. A FindAWrap customer watches their request page move from Request received to A shop picked it up, a customer who sends one request to a whole city hears from your competitors too, and the first shop to write usually wins. For where leads come from in the first place, see how to get more vehicle wrap leads; this guide is about keeping the ones you get.

Set up the doors once

  1. 1.Fill in your listing. Open Leads → Listing, pick your Services and Brands used, tick Online booking available if you take bookings, and click Save changes.
  2. 2.Save your city. Requests on nearby unclaimed listings route by your shop's city, so fill in the Where's your shop? card on Home if it shows.
  3. 3.Put a form on your website. On a Wraptor site, add a Quote form or Quote wizard block in the editor and publish. Elsewhere, paste the request-a-quote embed from Settings → Shop Settings → Lead Capture, or the code from Web Presence → Magic Wrap → Install on your website.
  4. 4.Connect email. In Inbox, click Create my inbox for a WrapMail address, or Connect with app password for the mailbox you already use.
  5. 5.Put leads on your lock screen. Turn on Push on this device under Settings → Communications → Team notifications, on every phone that answers leads.

More on the Lead Inbox and listing and the website builder.

Work the Leads page

Open Leads from the sidebar. The header counts the leads waiting on you, and the same number shows as a badge on Leads and on the New Leads tile on Home. A lead counts as waiting until you first reply, park it or convert it.

  1. 1.Open Leads, or tap the notification, which opens that lead and its thread.
  2. 2.Start at the top of Needs your reply, where each lead shows a timer such as Waiting 3h. The Directory, Website and Email chips narrow the list.
  3. 3.Read the vehicle, service and timing. Contact details are live links: tap to email or call, or tap Text to text from your phone.
  4. 4.Click Message the customer. The line under the box says how it goes out: by email (and posted to a directory customer's request page), or by text to a phone-only customer who asked for texts. Press Send; their answer comes back into the same thread.
  5. 5.Move it forward with Create quote, or Convert to job to start the work. Photos from the quote form are copied onto the job.
  6. 6.Not chasing it? Click Park. Bring back returns it from Parked.

Worth knowing as you work the list:

  • •Answered leads move to Replied; when a customer writes back, theirs rises to the top marked Customer replied.
  • •If a directory lead is still unworked about four hours after it landed, Wraptor emails you and rings your bell once (the Lead reminders switch under Team notifications).
  • •An email lead shows Open thread in Inbox instead of a message box; replying there marks the lead replied.
  • •Jobs in your Lead stage, including request-a-quote submissions, show under Working.
  • •Where Rex lead replies is enabled for your shop and switched on, Rex drafts a first reply within about five minutes. Nothing sends until someone taps Send twice.

Full reference: the Leads manual page.

Bottom line: clear Needs your reply first thing, after lunch and before you leave, and park anything you won't chase so the count stays honest.

Turn a lead into a customer and a quote

Create quote opens a draft quote with the customer and vehicle filled in, and the customer is now on your Customers list. Above the price, the What they asked for card shows the service, vehicle and timing, their message and form answers, their photos, and a Customer saw line when your estimator or Magic Wrap already showed them a range. If your total lands more than 15% above or below that range, an amber line says so before you send.

  1. 1.Price it. Once your films are in Quote Settings, a wrap quote opens on Estimate by area, already measured when the vehicle is in the 2,232-vehicle dataset. Tint, PPF and other work price per unit or as a flat price. For choices, open Advanced and tap Add an option.
  2. 2.Check the Details card. The deposit starts from your Quote Settings (50% until you change it), and Valid until sets an expiry.
  3. 3.Send it. Click Send quote, tick Follow up automatically if they don't open it, and click Send email. The quote shows as sent only once the email has actually gone out.
  4. 4.Texting it instead? Click Copy link, send it yourself, then click I shared it another way and pick the channel. Automatic follow-ups only run on quotes sent by email.
  5. 5.Get the yes. The customer clicks Approve Quote on a no-login page and Wraptor creates the job. For a phone yes, use Mark approved, choose whether to send a deposit pay link, then Approve & create job.

The other doors end in the same place. A request-a-quote submission is already a customer, a vehicle and a job in your Lead stage: open the job, go to its Quotes tab and click Build Quote. An email inquiry can skip the lead card: on the email in your Inbox, Draft Quote builds a draft (priced as Good/Better/Best when Wraptor can match the vehicle and price it by area) and Create Job opens a job. Neither sends anything to the customer.

Request-a-quote forms, email jobs and bookings reuse a customer whose email matches, so a customer writing from a new address becomes a second record; tidy those under Customers. On each profile, set the Primary Contact, because every quote, invoice and reminder goes to that one address. Quoting detail is in the Quotes manual page.

Bottom line: the lead's details travel into the quote, so your job is pricing and sending it, not copying it.

Handle online booking requests

Some customers would rather pick a time than wait for a quote. Your shop gets one public booking page at wraptor.app/book/ followed by your handle, a Book an appointment button on your claimed directory listing, and the same flow at /book on your Wraptor website. More on online booking.

  1. 1.Open Scheduling → Services & hours, turn on Accept online bookings, and write the Booking-page note.
  2. 2.Set Shop timezone, open days and hours, and any Closed dates, then Minimum notice and Booking horizon under Booking rules.
  3. 3.Under Bookable services, make each service Active and Public, and pick a flow: Choose an exact time for in-shop work that fits in a day, or Request a preferred date for multi-day, mobile or consult-first work such as a full wrap.
  4. 4.Add a Deposit to any service that should hold the slot with money, then click Save scheduling.

Deposits ride your connected Stripe account; until payouts are live under Money → Payments, the page takes requests without charging. An exact-time booking with a deposit holds the slot for 30 minutes while the customer pays, and payment confirms it. A date request with a deposit creates the customer, an intake job and a deposit invoice, then waits for you.

Requests land in Scheduling → Online bookings, with the vehicle, service, contact details, notes and requested time. Confirm puts the booking on the calendar, creates or links the intake job and emails the customer; Decline tells them the date doesn't work; Open job takes you to the job. A booking with a paid deposit can't be declined until you refund or reschedule it.

What your customers receive along the way

Every automatic email sits on Settings → Communications → Customer messages. Rows marked Always go out only when you or the customer act; the rest have a switch. The Settings manual page lists every row.

The same page shows the sender line (until you connect a mailbox, mail goes from a Wraptor no-reply address in your shop's name, with replies to your shop email), Quiet hours for holding automated sends overnight, and Activity, which shows whether each email was delivered, opened, bounced or suppressed. One limit to plan around: Wraptor doesn't send automatic text messages today, so don't promise a customer a text reminder.

Run your next lead through it

The routine works in any shop, but it only holds if every inquiry reaches the same list. To set it up in Wraptor, start the 7-day free trial, no card required; it opens on Wraptor Shop with the Leads page, online booking and the hosted website included. Claim your listing and run tomorrow's leads through it, or book a demo for a walkthrough with your own lead sources first.

FAQ

Where do FindAWrap directory leads show up in Wraptor? On the Leads page, under the Directory chip, with the customer's vehicle, service, timing and full contact details. Each request also arrives by email and as a bell notification, and as a lock-screen alert on any device with push turned on.

Do I need a paid plan to receive directory leads? No. Claiming your listing is free, and a shop without a plan still gets each directory request by email with the customer's contact details. Working leads on the Leads page, with messaging, quotes and jobs, needs a plan or the free trial.

Why did a website quote request show up as a job instead of a quote? The request-a-quote link and embed create a customer, a vehicle and a job in your Lead stage, not a quote. Open the job, go to its Quotes tab and click Build Quote. The Quote form and Quote wizard blocks on a Wraptor website land on the Leads page instead, under Website.

Does Wraptor follow up on quotes automatically? Only if you turn it on. Quote reminders stay off for a new shop until you tick the follow-up box when sending a quote or switch them on under Customer messages, and the 30- and 60-day win-back has its own switch on that page. Both only run on quotes sent by email.

Does Wraptor text leads and customers? Automatic customer messages go by email only; texting isn't live yet. From a lead card you can reply by text to a phone-only customer who asked for texts, or tap Text to message them from your own phone.

What happens to email inquiries during the trial? Email leads come from a hosted WrapMail address, which needs a paid plan. During the trial you can connect the mailbox you already use, read and reply inside Wraptor, and turn an inquiry into a job from the Inbox.
