Settings — configure your shop once, run it everywhere
Who it's for
Settings is for the owner or manager who sets up the shop and tunes how Wraptor behaves: your business details and logo, your brand color, your locations, the stages a job moves through, your production equipment, every email your customers get, and how billing works. Services live under Shop → Shop Standards. Quote defaults — deposit, validity, terms, rates, sales tax and region — live under Money → Quote Settings and are described on this page too. Both screens need the Settings permission, which by default only the Manager role holds.
Where it fits
Settings is the back office of your shop. You'll set most of it up once during onboarding, then return when something structural changes — you open a second location, rename a workflow stage, or swap your logo. It's the source of truth for a lot of what the rest of Wraptor shows: your accent color themes every screen, your workflow stages define the job board columns, and your locations show up on the calendar and jobs. The standards that feed quotes (deposit, validity, document, waste, terms, rates, tax) are under Money → Quote Settings. See workflow-map.md for the lifecycle and personas.md for the standard roles.
Overview
Settings is one page with a grouped sidebar, not a set of separate screens — you click a section on the left and the panel swaps in place. The sections are organized into four groups:
- General — Shop Settings (business profile, logo, appearance/accent color, Lead Capture panel, plan & usage summary, export, reset, danger zone), Brand Kit (your shop's logos and sponsor/partner badges for the Studio), WrapStudio (template defaults and storage), Locations (your sites), and Directory price range (your self-reported Directory price bands — not your rate card).
- Production — Workflow (the stages jobs move through, each stage's checklist and sign-off gate, the customer view, material tracking, and the inspection checklist), Equipment (your printers — the full register with plotters and laminators is Shop → Equipment), and Documents (e-sign templates and warranty certificate terms).
- Communications — Customer messages (every email your customers get, in lifecycle order, each with its switch, timing, and last-sent; the sender line; quiet hours and your timezone; the activity timeline), Email accounts (the plumbing — a WrapMail inbox or your own mailbox, forwarding), Team notifications (device push and crew stage pings), and Phone & Calls (your call-tracking number and missed-call text-back — the section only appears when call tracking is switched on, and it ships off; see Calls).
- Integrations & Billing — Accounting & Billing (QuickBooks/Xero sync plus your subscription/plan, one combined section) and API & Webhooks (API keys, Zapier, and outbound webhooks — see API & Webhooks).
There is no separate Checklists section any more — stage checklists are edited inside Workflow, and old ?section=checklists links land there. There is no Pricing or Standards section under Settings either: service selection lives in Shop Standards; quote defaults and prices live at Money → Quote Settings.
A key idea: Settings both owns things and hosts things. Your shop profile, locations, and Brand Kit assets live here. But several panels are really other modules shown in one convenient place — Workflow belongs to Jobs, Email accounts to Inbox, and the accounting/subscription pieces to Invoicing & billing and Plans. Quote standards — rates, deposit, terms, sales tax — live under Money → Quote Settings (see the Money → Quote Settings section below). Install-bay operations and configuration live in Shop → Bays, where managers and calendar operators can see the live floor instead of editing bays in a cramped Settings card.
Screens & navigation
Open Settings from the Settings item in the sidebar footer (the gear). The page opens on Shop Settings with the sidebar groups down the left (horizontal tabs on mobile).
Shop Settings Your business details (Shop Name, Contact Name, Email, Phone, Website, Revision Rate ($/round), and your tax ID — labelled for your country), your address, your social profiles (Instagram, Facebook, TikTok, YouTube), Business Hours, and a Meta Pixel ID for your hosted website. Upload, replace, or remove your logo at the top (PNG, JPEG, or HEIC, under 2 MB); once a logo is up, a switch reads Light or white logo — use a dark backdrop on quotes, invoices & emails for artwork that would vanish on white paper. The Sales tax & region cell on this screen is a read-only link — it shows your rate, label, and country and says Edit in Money → Quote Settings. Two things that used to be typed here have moved, and the form says so: your timezone now sits beside the quiet-hours switch under Customer messages, and your Google review link lives on the Review request row of the same page. Beside the form: Appearance (light/dark theme and your accent color — pick a preset or a custom hex; it themes the whole app) and Lead Capture (your public quote-request link and embed code, so customers can submit inquiries straight into your pipeline). A plan & usage strip shows your plan, team count, AI credits used, and storage used. Under it, four account tiles: Export Your Data, Reset to Defaults, Danger Zone, and Clear All Jobs.
Brand Kit Your shop's logos and sponsor/partner badges — real transparent assets you can drop straight onto designs in the Studio instead of letting the AI guess at them. Upload and manage them here once; they're then available across Studio.
WrapStudio Template defaults — the vehicle-template provider new designs start from and the print scale for each provider; you can still switch provider on any individual import. Recovered originals — older raster designs kept as read-only originals until you open them; once recovered you can clear the raster copies to reclaim storage. See WrapStudio.
Locations Add and edit your shop sites, set the default, and manage which staff belong to each. Wraptor Starter includes one location and stops there — adding a second shows You've reached your plan's location limit — upgrade to add more. with a See plans → link. Wraptor Shop and Wraptor Fleet include one location and can add more as a metered add-on: adding one asks Add one more for $99/mo (prorated today)? and, on confirm, adds it to your subscription. On annual billing the same dialog quotes $990/yr. Jobs and install bays are assigned to locations.
Directory price range Set a min/max price range per service (Vehicle Wrap Installation, Paint Protection Film (PPF), Automotive Window Tint, Commercial Signs and Graphics, Vehicle Lettering and Decals, Ceramic Coating, Auto Detailing) and press Save price bands; leave a row blank to publish nothing for that service. Above the rows, a single Show your pricing publicly toggle — off by default, and it saves the moment you flip it. Turned on, your ranges show as a "from $X" badge on your Directory listing and feed the listing's structured data. This is not your rate card — nothing here touches a quote. Your real rates live under Money → Quote Settings → Materials, labor & add-ons.
Workflow Two panels. Workflow Stages is the stages a job moves through (the columns on the Jobs board) — drag to reorder, expand a stage to edit its checklist and require sign-off before jobs can advance. A Preset row (Wrap · Color Change · Tint · PPF · Print · Signs · Full Service) replaces the board with a trade workflow while preserving any custom stage still in use. A Customer view row with the same seven trades plus Turn off sets which stages your customers see on their tracking page and what those stages are called; each stage also has its own eye toggle and customer-facing label. Below the board, an Automation panel names the stage each automatic step happens at: New jobs start at and Mark jobs complete when they reach (that second one is the "finished stage" the Ready-for-pickup email and review request key on), plus a Material tracking switch — automatic inventory confirm/deduct/reconcile, on or off — and the stage pickers it gates, and a Proof approval picker (When a proof is approved, move the job to) that advances the card the moment a customer signs a proof — forward only, never into the completion stage; see Proofs. Inspection Checklist is the graded walkaround list installers use at check-in and check-out. Covered in depth in Jobs, Track, and Inspections.
Equipment Your printers (Equipment/Inventory) — this list shows printers only; the full register with plotters, laminators and maintenance schedules is the Shop → Equipment tab. Install bays are configured and tracked in Shop → Bays.
Documents Document Templates — reusable waivers, care instructions, and work authorizations your customers sign electronically (New template, then Edit, Archive, or Restore; each send snapshots the text). Warranty certificate terms — the coverage terms printed at the bottom of every public warranty certificate you register from a job; empty uses the standard sentence naming your shop. Quote terms no longer live here — they moved to Money → Quote Settings → Quote defaults. See Documents and Warranty.
Customer messages (/settings?section=email — the old Email & Notifications link still lands here)
Every email your customers get from your shop, on one page, in the order a job happens. If Wraptor can email one of your customers, the row is here — nothing sends from an engine you can't see.
- The sender line. The top of the page reads Customers see mail from … · replies go to … — the exact From and Reply-To on every customer email, whether you pressed Send or Wraptor sent it for you. What it says depends on what's connected under Email accounts: a WrapMail inbox sends from your WrapMail address and replies land in your Inbox; your own mailbox (Gmail, Google Workspace, Outlook, Microsoft 365) sends from that address and replies go to your shop email; with neither connected, mail goes out from noreply@wraptor.app in your shop's name and replies go to your shop email (the one on Shop Settings). Change jumps to Email accounts.
- The rows. Each row is one message: an icon, its name, one sentence on when it goes out, a switch or an Always chip, a timing field where the message has one, and Last sent … to … · N in 30d or Never sent. In lifecycle order:

- Milestone rows, in detail. Scheduled, Work started, and Ready for pickup each show which stage on your board sends them (Sends when a job first reaches …). If no stage on your board plays that role, an amber line says so and the row never fires even when it's on — add or rename a stage under Workflow. Edit what the customer reads opens one box per bound stage so you can replace the default sentence; leave it empty to keep the default.
- Review request, in detail. The switch is the on/off. Until you touch it, Wraptor uses the old rule: the ask goes out when a Google review link is saved or your directory listing is claimed, to whichever of those you have. Ask on picks where the customer is sent — Google (needs the link, entered right here on the row and saved with Save link), your Wraptor listing (needs a claimed Directory listing), or Both (one email carrying both links). Send after is in hours from the moment the job hits your finished stage (0 to 720); leave it at 0 to ask right away. Send me a test sends the Google-style email to your own shop email (it needs a saved Google link). One ask lands per job; an ask that bounced or was declined before sending can retry, up to three attempts per address with a cooldown between them, so fixing a bad address still gets the ask out.
- Invoice reminders, in detail. The switch governs the whole shop — there is no per-invoice pause control in the app today. Turn the switch off to stop reminders for everyone, or collect the invoice.
- Appointment reminder covers two things honestly: online bookings (timed by the lead time on Scheduling → Services & hours) and scheduled installs (about two days out, with a nudge to pay the deposit if one is still owed and a pay link exists). One switch covers both.
- Your branding, and the right words for the work. Invoice reminders, payment receipts, appointment and install reminders, and documents you send for signature go out on the same branded shell as your quotes and proofs — your logo at the top, your contact line and address in the footer, and a Manage what we email you link that opens the customer's own preferences page. They also name the work the way you sold it: a tint customer reads "your window tint", a paint-protection customer reads "your paint protection film", and only a wrap customer reads "your wrap". When the service isn't set, the email stays neutral rather than guessing.
- Quiet hours. A daily window, in your shop's local time, that holds every automated send until the window ends — your own Send clicks always go out immediately, and so do the approval confirmation, receipts, and booking confirmations. The Timezone picker sits right beside the switch (it moved here from Shop Settings); quiet hours won't turn on until a timezone is chosen, and changing it here also updates the timezone your online booking page uses. Off by default.
- Activity. The timeline of everything sent or queued, filtered to Customer messages by default (switch to All to see the alerts Wraptor sends you and your team). Each row shows the message name, who it went to, the quote/invoice/job it belongs to, a channel chip, and its real status — Queued, Sent, Delivered, Opened, Clicked, Bounced, Complained, Failed, Canceled, or Suppressed — each shown as itself, never rolled up into a generic "sent". Bounced, Failed, and Suppressed rows show the reason. Cancel pulls a queued message (send-later picks and anything quiet hours deferred) before it goes. There is no resend button on the timeline — to send something again, send it again from the quote, invoice, or job. This replaces the old notification log and Scheduled emails list.
Email accounts The plumbing behind the sender line. With nothing connected the page asks one question — Connect the inbox you already use — with two answers: Get a WrapMail inbox (your shop's own address on wrapmail.net inside Wraptor, see Inbox; every plan includes it — Wraptor Starter one shared inbox, Wraptor Shop up to three, Wraptor Fleet up to five, extra inboxes $49/month on Shop and Fleet) or Use your own email (Gmail, Google Workspace, Outlook, Microsoft 365 — one app password sends and receives). Once connected you'll see sending/receiving status, a Sync now button and sync health for a connected mailbox, and Email Forwarding — Forward replies to your personal inbox — if you want incoming mail copied to a personal address. A Connected services card (Google email and calendar sync) appears when those connections are available. A WrapMail inbox is only ever created from here — an automated send never provisions one behind your back. Whatever you connect here is what Customer messages shows as your sender. Both cards are open on every plan and during the 7-day trial. The sender line at the top of Customer messages always shows which address is really in use.
Team notifications Alerts for your own people, not your customers. Device notifications → Push on this device turns lock-screen alerts on for the device you're holding — new leads, opened quotes, payments — per device, so switch it on separately on your phone and the shop tablet (see Mobile App & Notifications). Crew pings → Auto-ping the crew on every stage change is the shop-wide switch for automatic pings to a stage's crew when a job moves into it (on by default); turn it off for manual-only mode and use Notify crew on the job instead (see Jobs). Under both, What your team gets is one switch per group of alerts Wraptor sends you and your team — Daily briefing email, Overdue alerts (invoice overdue, payment reminders exhausted, follow-up past due), New lead alerts, Lead reminders, Customer replies (quote answered, proof answered, document signed), Customer views, Bookings, Payments received, Assignments & schedule, Reviews & showcase — plus Pause all alerts to quiet every group at once while keeping your individual choices. A switch is shop-wide and covers that group's email, bell and push; the underlying records still appear in the app. An Always on list underneath names what cannot be switched off: payment disputes and duplicate payments, payout or card-payment problems, bounced emails and failed scheduled sends, team invites, and your Wraptor plan and billing. Below that, Top bar newsfeed picks what scrolls across the top of every page on wide screens: Industry news (wrap, tint and PPF headlines, the default), Shop activity (your own jobs moving, quotes approved, invoices, signatures), or Off.

Accounting & Billing One combined section, two cards. Accounting — Connect QuickBooks or Connect Xero (Invoicing & billing); once connected, Import customers, Sync Preferences (auto-sync and conflict resolution), Recent Activity, and Reconnect when the connection lapses. Subscription — your plan heading (for example Wraptor Starter Plan), billing cycle and status, the Manage Subscription button (change plan, update payment method, view invoices, or cancel — it opens the Stripe billing portal; a shop with no Stripe billing record yet is sent to the plan picker instead), a Usage block with meters for Team Members, Locations, Storage, and AI Credits, and the AI Credits and Vectorizations cards with their Buy more packs (60 credits $15, 250 for $50, 800 for $120; 10 vectorizations $5, 50 for $20 — packs need an active paid plan). While you're on a paid-plan trial the card shows how many days are left and an Activate membership button. See Plans. Card and bank processing on your customers' payments is separate from your subscription: it is set up and priced on Money → Payments, where the Getting paid card states the rate — 3.2% + 30¢ per card payment · 1% (max $5) per bank (ACH) payment, Stripe's rate plus a small buffer, deducted before payout. Wraptor takes no other cut.
Shop → Shop Standards
Open Shop → Shop Standards (/shop?tab=standards) to choose the services your shop offers. This page requires the Settings permission. Pricing and quote behavior live separately in Money → Quote Settings.
1 — What you sell Chips: Wrap · Window tint · PPF · Print & signs · Other work — tick every service you offer; each tap saves on its own. Wraptor seeds this from the shop type you picked at sign-up (a full-service shop gets Wrap, Window tint, and PPF; a print or sign shop gets Wrap and Print & signs). It decides which tabs Materials, labor & add-ons shows, which chips the New Quote sheet offers, and the wording customers read. A shop with nothing ticked is treated as Other work. The dot pulses start here until you've picked at least one.
Print & signs is the print trade's own line: a new quote on it opens on Per unit with the Print products & catalog panel already open — banners, yard signs, decals, posters and cards picked from your print catalog and priced from their size, quantity, quantity breaks, sides and finishing options (see Print products) — and customers read "your order" rather than "your wrap". It never opens the vehicle estimator. Its Materials, labor & add-ons tab has two parts: 1. Print catalog, the products your print quotes start from, and 2. Per-item add-ons, a price list for the lines that go around a product (Load starters adds design time, setup / prepress, installation, rush and delivery at $0 and inactive). Switching Print & signs on here fills an empty print catalog with the five starter products. A shop that sold print before this line existed keeps its Wrap and Other work chips until it ticks Print & signs here.
Add your own. Sell something the five chips don't name — ceramic coating, boat lettering, storefront graphics? Tap + Add your own, type the name (2–40 characters, up to 12 of your own), and press Add. It becomes a chip of its own, already ticked: it gets its own Materials, labor & add-ons tab (a price list under that name), its own New quotes open as picker, and a chip on the New Quote sheet. Your own services price the way Other work does — Flat price, Per unit, or Estimate by area — and customers see the neutral "your project" wording. A flat quote on one prints its name as the line ("Ceramic coating") when you leave the title blank. The × on the chip removes the service, but only while nothing uses it: once a quote or a priced item is on it, Wraptor says so ("3 quotes and 2 items still use…") and you untick it instead, so every document you've sent keeps reading correctly.
Money → Quote Settings
Open Money → Quote Settings (/money?tab=pricing). The Settings permission is required. Start with Materials, labor & add-ons, then Quote defaults, Quote flows, Sales tax & region, and Advanced. See Quote setup for the guided roll-cost and pricing workflow. Status dots show what is configured; existing quotes retain their saved numbers.
1 — Materials, labor & add-ons One tab per service enabled in Shop Standards.
- Wrap — the Films table (name, tier — editable —, vinyl $/sq ft, laminate $/sq ft, combined, durability years), Add film (choose the exact vinyl and optional laminate inventory items, or start from a preset; enter roll costs separately from selling prices), a ★ on each row to make it the Default film the estimator opens with, Edit, Roll cost & stock, and Remove — quotes that already use a removed film keep their numbers. Below the films, Labor — the list of labor rows your area estimator prices, and it is your list: Add labor, rename any row (the name is what customers read), pick what the rate is per (Per hour, Flat fee, Per sq ft, Per panel), set the rate, a Default hours / Default panels box where it applies, Hours come from the vehicle (the row takes the measured install hours, as Installation always has), On new estimates (whether a fresh estimate opens with the row — add or remove any row on a quote regardless), reorder with the arrows, delete, then Save labor (up to 25 rows). Shops start with Design, Production and Installation on, and Removal and Travel off. Then Your items for wrap — the same price list the other tabs have, so a wrap-only shop can keep a reusable "Shop supplies" or "Disposal" line (there is no starter list for wrap items — Load starters on this tab has nothing to add). Load a starter catalog adds ten starter films and the five labor rows alongside what you already have; it never overwrites anything you named yourself.
- Print & signs — 1. Print catalog lists one row per print product: its name, a summary ("$25.00 each · 4 quantity breaks · Trim to size"), and a suggested — edit to your shop chip on a starter you haven't saved yet. Load starter catalog adds the five starters (banner, yard sign, contour-cut decal, poster, business cards) with suggested rates after your own products, skipping any name you already have. Add product opens a blank recipe. The arrows reorder the catalog (the quote panel follows that order), the pencil edits a product (saving it clears the chip), and the bin removes it after a confirm — quotes that already use it keep their numbers. Each product carries its selling rate (per sq ft, per linear ft of the longest side, or each), up to five quantity breaks, and its finishing options. 2. Per-item add-ons is the items list described next. The Materials, labor & add-ons status stops listing Print & signs as not set once it has an active priced item or a catalog product with a rate that isn't suggested (the card reads rates set when every service you sell is priced). See Print products.
- Window tint / PPF / Print & signs / Other work / any service you named — the items list under that tab: a price list for that service. Each item has a name, a description for the quote, price, unit (window / package / each / hour / sq ft), a default quantity, a Taxed as chip (Labor / Materials / Other — this is what the sales-tax switches key on), a Customer can add this checkbox (the item lands on quotes as an optional add-on the customer ticks — see Quotes), an On every new [service] quote checkbox (the item is already on each new quote for that service before you open it — flat-priced quotes included; remove it from any quote that doesn't need it), an optional SKU, and an active switch — an unpriced item can't be switched on until you price it. Load starters adds the usual items (tint: front two windows, full car carbon, full car ceramic, windshield strip, sunroof; PPF: partial front, full front, track package, full body, rocker panels; print & signs: design time, setup / prepress, installation, rush, delivery; other: lettering, decals, removal, travel) at $0 and inactive — they stay out of the quote picker until you price them and switch them on. A service you named has no starter list; add its items yourself.
2 — Quote defaults What every new quote copies the moment it's created. Edit, then press Save quote defaults:
- Deposit — None, Percent, or Fixed $. Left untouched, quotes keep today's 50% deposit.
- Request the deposit automatically when a customer approves online — Automatic (only when you take card payments and the quote asks for a deposit), Always, or Never. It never applies to quotes you mark approved yourself — that sheet always asks.
- Payment instructions — free text shown to customers after they approve when you don't take deposits online ("Call the shop to pay your deposit by card, or drop by with cash"). Leave it blank and that step is left out.
- Quotes are valid for [ ] days — blank by default, and blank means no expiry. Type a number (1–365) and every new quote gets a valid-until date, prints it in its terms, and expires on schedule. Nothing expires until you opt in.
- Customer document — Itemized, Estimate sheet, or One-line summary — plus Colors (one of 15 quote themes). Two separate choices; both apply to the public quote page and the PDF.
- Follow up automatically — the same shop-wide switch as Settings → Customer messages → Quote reminders, with a sub-check also check back at 30 and 60 days (the Win-back row). The send sheet's checkbox defaults from it.
- Material waste allowance — the percentage the estimator adds to material; ships at 15%. Area-priced quotes show it as one visible line.
- Terms printed on every quote — the text stamped onto every new quote, prefilled with a preset generated from your business info. Reset to preset brings the preset back. The preset no longer claims "valid for 30 days", "a deposit is required", or a 1-year warranty — the validity and deposit lines now print live from each quote's own fields, so they're always true. Because of that, the card warns you when your text contains "valid for" or "deposit" (it would print twice); keep such a sentence and Wraptor prints yours and skips the live line. Quotes already sent keep their original text. (Terms used to live under Settings → Documents.)
3 — Quote flows New quotes open as. One picker per service you ticked (your own services included): Decide for me (Estimate by area when you have films, Per unit when you have priced items, else Flat price), or pin it to Flat price, Per unit, or Estimate by area (wrap and other work; tint and PPF offer Flat price and Per unit). A shop that never wants the one-line quote, or never wants the estimator, sets it here once; the Pricing line on a quote still carries a change link that switches that one quote.
4 — Sales tax & region One card, one Save tax & region button: your Country (United States, Canada, New Zealand, Australia, United Kingdom — picking one applies its currency, units, and tax label preset), Units (Imperial sq ft / Metric m²), the Tax label printed on quotes ("Sales Tax", "GST/HST", "VAT"…), the Standard tax rate (type 0.0825 and Wraptor asks "Did you mean 8.25%?"), + Add a second tax line (for GST + PST), and three switches — Tax materials, Tax labor, Prices include tax. Shops that don't charge tax use We don't collect sales tax → Confirm no sales tax, which saves 0% and turns the dot from amber to no sales tax. The rate ships at 0% — new quotes show no tax until you set it (the quote's Details card flags a 0% rate and links back here). The Sales tax & region cell on Shop Settings links here.
5 — Advanced (collapsed) Install Style — for wrap, tint, and PPF (not Other work or your own services), a Surface axis and a Finish axis, each row with an Install hours × and Install rate × multiplier applied to the labor row that takes its hours from the vehicle. The middle row of each axis is the baseline a quote uses until someone picks another chip. The Surface and Finish chips appear on a quote's estimator only after you have saved this card once; a shop that never saves it prices at the neutral middle. Save install style applies to new quotes; quotes you already sent keep their prices.
What inherits it, and when. Every new quote copies the deposit, validity, document layout and theme, waste allowance, terms, service line and pricing mode, default lines, and the tax rate/label/taxable switches/prices-include-tax setting at creation. Changing one of those later never rewrites a quote that already exists.
Two settings are read live at approval, not copied: the auto-deposit rule and your payment instructions. Change either and the next customer to approve — including on a quote you sent last month — gets the new behaviour. Leave a card on using defaults and quotes behave exactly as they do today.
Capabilities
Set up your shop identity
- Edit business profile, hours, social links, revision rate, and Meta Pixel ID (your timezone and Google review link live under Customer messages).
- Upload a logo (PNG/JPEG/HEIC, under 2 MB) or remove it, and flag a light logo for a dark backdrop on documents.
- Pick a theme and an accent color that themes the whole app.
- Download everything as a ZIP of CSV files with Export Your Data.
Run multiple sites
- Add locations, set the default, and assign staff to sites (plan-limited).
Define how jobs flow
- Edit the workflow stages that become your job-board columns; give each stage a checklist and a sign-off gate.
- Apply a Wrap, Color Change, Tint, PPF, Print, Signs, or Full Service preset. Color Change skips design and printing in favor of Need Deposit → Deposit → Scheduled → Removal / Prep → Installing → Post-Heat / QC. Existing jobs and checklist templates are never moved; any custom stage they still use is kept at the end of the new preset.
- Choose which stages customers see on their tracking page, and what they're called, with the Customer view row or a stage's eye toggle.
- Turn automatic material tracking on or off.
- Maintain the graded inspection checklist installers use at check-in and check-out.
Set your quote standards (Money → Quote Settings)
- Tick the services you sell, name your own, and pick how new quotes open for each.
- Set the default deposit and the auto-deposit rule, payment instructions, an optional validity window, the customer document and colors, the waste allowance, and your terms — every new quote copies them.
- Maintain your films and labor rows (wrap), your print catalog (print & signs), or your priced items (tint, PPF, print & signs add-ons, other work, your own services), with starters you can load without overwriting your own, optional add-ons your customer can tick, and lines that land on every new quote.
- Set the shop's sales-tax rate, label, and whether materials and labor are taxable independently, plus your country and units, under Sales tax & region.

Control every customer message (Customer messages)
- See every email your customers can get, in lifecycle order, with what triggers it, its switch (or Always), its timing, and when it last went out.
- Turn quote reminders, win-back, scheduled, work started, and ready for pickup on — all five ship off, so a new shop sends none of them until you opt in. Invoice reminders and appointment reminders ship on; turn them off here if you'd rather not.
- Set up review requests: switch, destination (Google / Wraptor listing / Both), delay in hours, your Google review link, and a test send to yourself.
- Rewrite what the customer reads on each milestone email, per stage.
- Turn on quiet hours, set a start/end time, and pick your timezone right there.
- Read the Activity timeline with real per-message status, and Cancel anything still queued.
Connect your email (Email accounts)
- Get a WrapMail inbox or bring your own mailbox; turn forwarding on. What you connect is what your customers see as the sender.
Alert your team (Team notifications)
- Turn push on for this device, and switch automatic crew stage pings between automatic and manual-only.
- Switch off any group of alerts you'd rather not get (the daily briefing email, overdue alerts, lead reminders…) or Pause all alerts; pick Industry news, Shop activity or Off for the top-bar newsfeed.
Publish a directory price range
- Set per-service price ranges and toggle Show your pricing publicly — off by default — to display a "from $X" badge on your Directory listing.
Step-by-step tasks

Update your business profile and logo
- Open Settings → Shop Settings.
- Edit your name, address, contact, hours, and tax ID; press Save. (Your timezone is set under Customer messages → Quiet hours.)
- Use Upload Logo at the top of the form; if the artwork is light or white, turn on Light or white logo — use a dark backdrop on quotes, invoices & emails.
- Note: renaming your shop also updates the display name on your WrapMail inbox.

Change your accent color / theme
- In Shop Settings → Appearance, toggle light/dark and choose an accent preset or custom hex.
- The color applies across the app immediately.

Add a second location
- Open Settings → Locations and add the site's name and address.
- On Wraptor Starter you'll see the plan-limit message with a See plans → link. On Wraptor Shop or Wraptor Fleet, confirm the $99/mo add-on and the location is added to your subscription.
- Use Manage staff on the location so it shows up for the right people on jobs and the calendar.

Edit your workflow stages
- Open Settings → Workflow and rename, reorder, or adjust stages; expand a stage to edit its checklist or require sign-off.
- These become the columns on your Jobs board.
- To start from a workflow template, choose a trade on the Preset row and confirm. Color Change is the specialist option for shops installing solid-color film; it removes commercial-wrap proof and print stages.
- Wraptor installs the preset atomically and preserves any in-use custom stages, so live jobs and checklist templates stay in their current status.
- To show customers their progress, pick your trade on the Customer view row (or open the eye on each stage you want them to see). See Track.

Set your quote standards (about two minutes)
- Open Money → Quote Settings.
- In What you sell, tick your services or + Add your own.
- In Quote defaults, pick a deposit and the auto-deposit rule, decide whether quotes expire (leave the days blank for no expiry), choose the customer document and colors, read through your terms, and press Save quote defaults.
- In Materials, labor & add-ons, price your wrap films and labor, your print catalog, or your tint / PPF / other-work items. Load a starter catalog (wrap), Load starter catalog (print & signs — its rates are suggestions to edit) or Load starters if you'd rather edit than type.
- In Sales tax & region, enter your rate and label, set the materials/labor switches, and press Save tax & region.
- Every quote you create from now on copies these. Quotes that already exist don't change.
5a. Add your items (tint, PPF, other work, your own services)

Open Money → Quote Settings → Materials, labor & add-ons and pick the service's tab.

Press Add item and give it a name, price, unit, and a Taxed as chip (Labor / Materials / Other) — the chip decides which sales-tax switch applies. Tick Customer can add this for an optional add-on, or On every new quote for a line every quote should start with.

On a Per unit quote, Add from your items drops these in with one tap. The quote takes a snapshot, so later edits here never change existing quotes.

Deleting an item that quotes already reference switches it off instead of removing it, so their lines stay intact; inactive items disappear from the picker. Starter items load at $0 and inactive — price them and switch them on first.

Configure sales tax
- Open Money → Quote Settings → Sales tax & region.
- Enter the shop's standard combined rate as a percentage (8.25, not 0.0825 — Wraptor checks) and the label to print on quotes.
- Turn Tax materials and Tax labor on or off independently. For a materials-only policy, turn materials on and labor off. Use Prices include tax if you quote tax-inclusive, and We don't collect sales tax if you don't charge one.
- Press Save tax & region. New quotes snapshot these defaults. A quote's Details card can override them without changing the shop-wide policy.

Reset appearance and workflow to defaults
- In Shop Settings → Reset to Defaults, press Reset settings... and then Confirm Reset.
- This resets your accent color and sales-tax rate and switches, and recreates the seven default workflow stages (Lead, Quoted, Approved, Design, Production, Install, Complete) — any custom stages are lost, though the customer-view settings of stages that survive by name are carried across. Your jobs and customers are not touched.

Turn a customer message on or off
- Open Settings → Customer messages.
- Find the row — Quote reminders, Win-back at 30 and 60 days, Invoice reminders, Scheduled, Work started, Ready for pickup, Appointment reminder, or Review request — and flip its switch. Rows marked Always have no switch: they only go out when you press Send on the thing itself.
- It's live immediately. If a flip doesn't stick, Wraptor tells you why in a toast and puts the switch back.
- Quote reminders and win-back are also the Follow up automatically switch on Money → Quote Settings → Quote defaults — same setting, two doors. See Quotes and Autopilots for exactly what each one says.
8a. Set up review requests
- On Customer messages, find the Review request row.
- Paste your Google review link on the row (it no longer lives on Shop Settings) and press Save link, and/or claim your Directory listing.
- Pick Ask on — Google, Wraptor listing, or Both — and a Send after delay in hours after the job hits your finished stage (0 asks right away).
- Flip the switch on. Send me a test puts the email in your own inbox so you can read it before the first real one goes.
8b. Set quiet hours and your timezone
- On Customer messages, scroll to Quiet hours.
- Pick your Timezone from the list beside the switch — the switch stays off until one is chosen.
- Toggle quiet hours on and set From and To. Every automated send inside that window waits until it ends; your own Send clicks never wait.
8c. Find out whether a customer actually got an email

On Customer messages, scroll to Activity.

Read the status: Delivered, Opened, or Clicked means it landed; Bounced, Failed, or Suppressed shows the reason on the row; Queued means it hasn't gone yet.

Cancel a queued one if it shouldn't go. If it bounced, fix the address on the customer first, then send again from the quote, invoice, or job.

Publish a directory price range
- Open Settings → Directory price range.
- Enter a min/max range for each service you want to publish, and press Save price bands.
- Toggle Show your pricing publicly on — it's off by default, and the toggle saves itself.

Export your data

Open Settings → Shop Settings and find the Export Your Data tile.

Press Download export... — you get a ZIP of CSV files (customers, jobs, quotes, invoices, payments, inventory, leads, and more) plus a manifest of your uploaded media.
Settings & permissions
Who can use it Settings is gated by the Settings permission, which by default only the Manager role holds. Designers, Production, and Installers can't open it. If you want someone else to configure the shop, give them a role that includes the Settings permission — but be careful, since that's a lot of control. Money → Quote Settings needs the same Settings permission; a teammate with only the Billing permission sees the other Money tabs but not Standards. Every plan can open Settings, the 7-day trial included.
Plan limits Adding locations counts against your plan. Wraptor Starter stops at one; Wraptor Shop and Wraptor Fleet include one and add more at $99/month each. A WrapMail inbox needs a paid plan (Starter includes one shared inbox, Shop up to three, Fleet up to five). API keys and webhooks need Wraptor Shop or up. The plan & usage strip on Shop Settings, and the fuller meters under Accounting & Billing, show team, location, AI-credit, and storage use against the plan. See Plans.
What ships on, what ships off On Customer messages, quote reminders, win-back, the three milestone emails (scheduled, work started, ready for pickup), and quiet hours all ship off — a brand-new shop nudges nobody until a Manager opts in. Invoice reminders and appointment reminders ship on (they're the polite, expected kind — turn them off here if you'd rather). Review requests follow the old rule until you touch the switch: on once a Google link is saved or your listing is claimed. Rows marked Always never fire on their own — they go out only when you press Send or when a customer acts. Crew auto-pings ship on. The Directory price range's Show your pricing publicly ships off too.
Tips & common pitfalls
- Reset to Defaults is narrow but destructive. It resets appearance and the sales-tax policy and rebuilds your workflow stages — it does not delete jobs, customers, or invoices. But any custom workflow stages you made are wiped, so reset deliberately. Clear All Jobs in the same row is the destructive one for jobs — it deletes every job without an invoice, across all locations, after two confirmations.
- Deleting account isn't self-serve yet. The Danger Zone's delete button currently tells you to contact support@wraptor.app — there's no one-click account deletion. Export Your Data is self-serve, though.
- You can't delete a location that's in use. The default location is protected, and a location with active (not-yet-finished) jobs can't be removed — move or complete those jobs first.
- Renaming the shop renames your email inbox. Changing your shop name updates the display name on your WrapMail inbox, so customers will see the new name.
- Settings changes are live. Accent color, toggles, workflow stages, and rate edits take effect right away across the app.
- Standards apply to new quotes only. A quote copies the deposit, validity, document, waste, terms, and tax settings when it's created. Change a standard afterwards and the quotes you've already built stay as they were — reopen or recreate one if you want the new defaults on it. The two exceptions are the auto-deposit rule and your payment instructions, which are read fresh each time a customer approves.
- Validity is opt-in. The "valid for" box ships blank, and blank means no expiry — nothing expires, and no expiry line prints, until you type a number.
- Don't hand-type "valid for" or "deposit" into your terms. Both print live from the quote's own fields. If you keep a sentence of your own, Wraptor prints yours and skips the live line — so the customer never sees two.
- Starters never overwrite. Load a starter catalog (Wrap), Load starter catalog (Print & signs) and Load starters only add rows you don't already have by name; anything you named yourself stays exactly as you left it. The old "Reset Defaults" and "Seed Default Pricing" buttons are gone.
- A new shop has labor rows but no films. Sign-up seeds the five labor rows only. Until you Load a starter catalog or Add film, Decide for me opens wrap quotes as a Flat price.
- Install-style chips only appear once you've saved the card. If the Surface and Finish chips are missing from your estimator, open Money → Quote Settings → Advanced and press Save install style.
- Material tracking is a toggle. It's in the Workflow section's Automation panel. Turning it off hides material capture on jobs and quotes; turn it back on to resume estimating and deducting stock.
- Quiet hours won't turn on without a timezone. If the toggle won't stick, pick a timezone from the list right beside it — Wraptor blocks the switch rather than running quiet hours against the wrong clock. (The timezone used to be a free-text box on Shop Settings; it's a picker on Customer messages now.)
- A milestone email with no stage never sends. Scheduled, Work started, and Ready for pickup are bound to stages by role. If the row shows the amber "No stage on your board sends this" line, add or rename a stage under Workflow before expecting the email.
- "Always" means always-when-you-send. Quote sent, approval confirmation, invoice sent, proof ready, job update, document to sign, payment receipt, and booking confirmations have no switch because they only go out when you (or a customer, or a payment) trigger them. Turning off the email would mean turning off the feature.
- Statuses mean what they say. A row reading Sent has left Wraptor but hasn't been confirmed delivered yet; Delivered has landed; Opened/Clicked means the customer touched it. Bounced and Failed carry the error on the row; Suppressed means a door declined it before sending (no address, a bad address, or the customer turned reminders off) — check the customer record before sending again. A bounce never edits the customer's address for you.
- Text messages aren't a thing yet. The Text messages — coming soon row has no switch on purpose. No customer email or page promises a text, and Wraptor doesn't send one.
- The Google review link moved. It's on the Review request row of Customer messages, not Shop Settings — and it's the same link the Track page's review prompt uses.
- One switch, two doors, still. Quote reminders and win-back are the same setting on Customer messages and on Money → Quote Settings → Quote defaults; the Autopilots page only reads them.
- Customers can manage their own reminders. Every branded email carries a Manage what we email you link. A customer who turns off "Reminders about your work" there stops getting quote reminders, win-back, invoice reminders, appointment reminders, and review asks — the work emails (quote, invoice, proof, receipt, document) always send. The same switches show on the customer's contact record under Customers.
- Directory price range is your own numbers, not a market estimate — and not your rate card. Wraptor doesn't calculate or verify what you enter there, and it never feeds a quote — see Directory for how it's shown to customers.
