  • Quote a job — Money → Quotes → New Quote: pick the customer, what you're doing (one chip per service line you sell, your own named lines included), and the vehicle if you have one — the vehicle box is open from the start for wrap and sits behind Add vehicle for everything else — then Start quote. Only the customer and the service are required. The quote page opens in the pricing mode your Standards picked for that service, with your rates already loaded. See Quotes.
  • Set your standards once — Money → Quote Settings (needs the Settings permission): What you sell, Quote defaults, Your rates, Sales tax & region, and Advanced (install style). Every new quote copies them the moment it's created; quotes you already made keep their own numbers. See Settings.
  • Decide what customers get emailed — Settings → Communications → Customer messages: every customer email in lifecycle order, each with its switch or an Always chip, plus the sender line, quiet hours with a timezone, and the Activity timeline. See Settings.
  • Give a customer their tracking link — open the job → Customer tab → Copy link or Send tracking link. Turn stages on for customers under Settings → Workflow (the Customer column). See Track.
  • Your first week — every shop starts with a 7-day free trial of Wraptor Shop (no card required, no automatic charge). There is no free plan. Wraptor Shop features and trial usage allowances apply; AI is a one-time taste (15 credits, 3 vectorizations, 3 file conversions) until paid membership starts the monthly allowance. See Plans.

Job lifecycle

ModuleWhat it isReference
JobsThe job board at /jobs — four views of the same jobs (List, Board, Bays, Crew) to create, track, and move every job through your workflow from lead to completion, whatever you sell; each job's Customer tab holds the tracking link, Send an update, Preview as customer, the due-date switch, and the log of what you've sent that customer. A fleet job runs as a parent job with a child job per vehicle on the job's Fleet tabref
Digital Vehicle InspectionsCheck-in/check-out condition walkarounds — 9-slot photo/video grid, a shop-customizable graded checklist (OK/Attention/Fail), damage notes, on-screen customer e-signature, customer-visible on Track with a PDF; run from the installer tablet or the job's Inspection tab—
Quote setupChoose services, link inventory materials, enter roll costs and selling prices, configure labor and per-item add-onsref
QuotesOne quote page for every quote — start it from Money → Quotes → New Quote (customer, service line, optional vehicle), price it as Flat price, Per unit, or Estimate by area from your Standards, add optional add-ons the customer can tick or Good/Better/Best options, then Send quote (email first; or Copy link / I shared it another way). Customers approve on a no-login link; approval creates the job even without a vehicle, can request the deposit, and sends a confirmation. Mark approved records a phone or in-person yes. Duplicate copies a past quote, options and all. Draft a quote from a WrapStudio design or an inbound email; opt-in quote reminders and 30/60-day win-back keep sent quotes moving — plus the public request-a-quote intake formref
Print productsPrint and sign shops' products on a quote — a Print catalog set up once under Money → Quote Settings → Print & signs (sizes, selling rates, up to five quantity breaks, finishing options as checkboxes, square-foot, linear-foot or each pricing; Load starter catalog adds five starters with badged suggested rates), picked first in the quote's Print products & catalog panel. Customers see the next breaks under the product ("25 for $275.00 · 50 for $450.00") while the quote can still be approvedref
ProofsUpload artwork mockups, send a no-login approval link to the customer, collect pinned comments and change requests, and record a signed three-disclaimer approval before production — includes the public proof-approval touchpointref
Documents & E-SignaturesWaivers, care instructions, and work authorizations sent for a no-login e-signature — templates live under Settings → Production → Documents, every send snapshots the wording the customer actually read, and anything waiting to be signed shows on their tracking page—
CalendarSchedule installs and bay bookings across month/week/day views, quick-schedule ready jobs from the unscheduled list, watch bay utilization, and edit events — with bay double-booking warningsref
Invoicing & billingTurn an approved quote into an invoice (Request deposit / payment creates it, marks it sent, and copies the pay link in one step), collect card or bank (ACH) payments through a no-login pay link (deposit then balance) or record offline payments (Check/Zelle/Cash/Other), void invoices, and sync invoices, payments, and customers to QuickBooks or Xero. Customers get an automatic receipt for every payment and up to three invoice reminders; until Stripe payouts are set up the pay page shows a How to pay block instead of a card button. Processing: 3.2% + 30¢ per card payment, 1% (max $5) per bank payment, deducted before payout. Lives on Money → Invoices and Money → Payments; includes the public pay touchpointref

CRM & comms

ModuleWhat it isReference
CustomersYour CRM contact book — add companies or individuals (the full form, a CSV import, or a compact New Customer dialog from the job, quote, and vehicle screens, each with a Paste button that reads an email signature), store multiple contacts, vehicles, and brand kits per customer, and view each customer's full job history; each contact carries a Reminders by email switch and each customer a newsletter opt-in, and Copy portal link hands them one no-login page for their whole account with youref
Inbox (WrapMail)Your shop's email inside Wraptor — read, reply, compose, and search customer mail with attachments both ways; Smart Inbox classification, customer/job linking, scheduled sends, quiet hours, and optional forwarding. Wraptor Starter includes one mailbox; Shop supports up to three and Fleet up to fiveref

Their own link is the Account status page: every vehicle and its stage for any plan, plus open balances, quotes waiting on them, and warranty certificates on Wraptor Shop and Wraptor Fleetref

Production & inventory

ModuleWhat it isReference
InventoryTrack rolls (vinyl/laminate/specialty), shop supplies, and printer ink across three tabs; estimate and deduct material per job, reconcile to actual usage, watch low-stock and low-ink alerts, and read each material's stock analysis (days until reorder, 90-day usage, usage history)ref
PurchasingVendors and numbered purchase orders (draft → ordered → received) with PDF + email to vendor, one-click reorder of low-stock items grouped by preferred vendor, and a receive flow that bumps shelf stock and auto-books the expense in one transaction—
EquipmentA register of machines (printers/plotters/laminators) and hand tools, plus recurring preventive-maintenance schedules with auto-rescheduling and a completion log; overdue tasks surface in Daily Opsref
ColorsThree color libraries in one screen — your shop's house palette, per-customer brand colors, and the full built-in Wraptones catalog (search, filter by family, favorite, export an ASE swatch file) — each with hex, CMYK, and Pantoneref
OpsYour shop's daily open/run/close checklist — three grouped lists (Opening, Production, Closing) with progress bars that reset each day; check off tasks, customize the routine for your shop, and reset for the next shiftref

Creative & files

ModuleWhat it isReference
StudioYour in-house AI creative suite — turn a phone photo of a finished wrap into a showcase image, before/after, short video, or captioned social post; manage reusable backdrops; and vectorize logos to SVG — all from one screenref
WrapStudio DesignA full vector design app for wrap production — pen tool to print-ready PDF with CutContour separations, panelization with lap lines, per-panel cut files, AI design generation as editable layers, a locked photo-to-template flow with AI outline tracing, a print-intent CMYK Production Color Mode with nearest-vinyl matching, CSV-driven Fleet Data Merge (one vector PDF per vehicle), and the design→proof→quote→inventory loop—
FilesEvery job's photos and documents in one searchable, shop-wide browser — upload artwork, references, and install/completion photos to jobs (tagged by category), auto-convert iPhone HEIC photos, set job cover thumbnails, and find any file by name or job numberref
DesignsThe retired public design-order flow and its retained fulfillment boundary — /designs and /designs/order now send buyers to /shops; shops design in WrapStudio, and Wraptor Fleet shops can publish shop-funded white-label Magic Wrapref

Growth & insight

ModuleWhat it isReference
Website BuilderAn AI-generated multi-page shop website — wizard builds structure, theme, copy, and imagery from real shop facts; edit live on the canvas or via an approval-gated chat copilot; served at <address>.wraptor.app or a domain you already own; quote requests land in Leads. Comes with every plan and the 7-day trial—
MarketingYour growth tools live in three places — Leads (/leads: the lead inbox for directory and email inquiries, your directory listing, and reviews), Web Presence (/website), and WrapStudio → Promote (Campaigns that turn finished renders into captioned posts, a branded Newsletter with Write with AI, and the Autopilots gallery). The old /marketing addresses redirect to the new homes. Leads and Promote open on every plan and the trial; the newsletter is paid-plan only, and each AI draft spends one AI creditref
ImportsThe /import migration hub — bring customers + their vehicles and active jobs from OrbisX, Urable, Tint Wiz, Zoho, Jobber, or any CSV; recognized exports pre-map, everything else auto-maps (by header name, then AI on demand); re-uploads update instead of duplicating—
CallsNot switched on yet — call tracking is built but stays hidden until Wraptor enables it: a dedicated tracking number that forwards to you, every call logged on Leads → Calls and matched to the customer or lead who dialed, with Call / Text buttons that open your own phone. Missed-call text-back is a second switch on top, and nothing in Wraptor sends a text today—
AutopilotsA read-only gallery of every automated messaging engine — Quote Chaser, Dead-Quote Win-Back, Review Flywheel, Job Ready Notify, Appointment Reminders, and — once a directory lead has come in — Lead Second Touch. Each carries a plain-English description, a status pill (On, Off or Needs setup; Platform-managed on Appointment Reminders and Lead Second Touch, which have no switch), and real 30-day send counts. Manage and Set up link to the switches in Settings → Customer messages, except Lead Second Touch, which links to Settings → Team notifications. Lives at WrapStudio → Promote → Autopilots—
RexRex, your shop's wrap-expert assistant — saved conversations on its own page at /ai (plus a Knowledge base you build yourself) and one shared chat per job on the job's Rex tab; it troubleshoots installs, knows film/tint/PPF/warranty specs, answers from your live shop data, and can act (create a customer, move a stage, send an email) only after you confirm an approval card. Not in the left nav — ? help dock → Ask Rex opens the slide-out panel for quick questions (it can't look up records or act; its Open full Rex link goes to /ai), and ⌘K → Ask Rex opens /ai; needs the AI Assistant permission (Manager and Designer by default)ref
ReportsYour shop's business-intelligence dashboard — revenue and jobs-per-month charts over a 3–24-month window (12 by default), quote conversion funnel, average time per stage, top customers, stale-quote follow-ups, and a ranked Profit Leak Detector that flags unpaid invoices, thin-margin jobs, and stuck work; Manager-only, read-only, always liveref

Team & setup

ModuleWhat it isReference
TeamAdd and manage your staff and control who can see what — a Members list (add/edit/deactivate/delete people, with login status) plus a Roles editor and click-to-toggle Permission Matrix; members can exist without a login (installers you only schedule), adding seats is plan-limited, and the screen is Manager-onlyref
My JobsThe stripped-down work-home for a member on the built-in Installer role — only the jobs assigned to them, plus Schedule and Team Chat. It replaces Home in their navigation; shop-management screens stay out of their rail—
SettingsYour shop's configuration hub on one page — business profile, logo, accent-color theming, multiple locations, workflow stages (with the Customer column that decides what customers see on their tracking page), production equipment, inspection checklists, and your Directory price range, plus Customer messages (every email your customers get, in lifecycle order, with its switch, timing, last-sent, the sender line, quiet hours + timezone, and the activity timeline), Email accounts, Team notifications, and the doorways to accounting, subscription and API setup; the standards every new quote inherits (services, deposit, validity, terms, rates, sales tax) live under Money → Quote Settings; bay operations live under Shop → Bays; Manager-onlyref
API & WebhooksSettings → Integrations & Billing → API & Webhooks — API keys, outbound webhooks, and Zapier for your own tools. Included with Wraptor Shop and Wraptor Fleet—
OnboardingFirst-run setup without a wizard — once your trial starts, a first-run picker asks what kind of work you do, where you are, and what to do first, and a dismissible setup checklist on Home walks you through tailoring your workflow, bringing in your first real job (or importing your data), your quote standards, your first quote, connecting the email you already use, and turning on push so leads reach your lock screen; you're dropped straight into a working shop and can finish setup at your own paceref
PlansNo free plan: every shop starts with one 7-day free trial (no card required, no automatic charge) of Wraptor Shop. Wraptor Starter is $99/mo or $990/yr for 2 seats, one location, one WrapMail mailbox, 25 GB, and 60 monthly AI credits; Wraptor Shop is $199/mo or $1,990/yr for unlimited seats, one included location (+$99/mo each), up to three mailboxes, 200 GB, 500 credits, the WrapForce network, and API access; Wraptor Fleet is $299/mo or $2,990/yr with up to five mailboxes, 500 GB, 1,000 credits, and white-label Magic Wrap. At the saved deadline, access pauses and your work stays saved until you choose a paid plan. Your Directory listing and its leads stay freeref
Dashboard overviewThe manager's home screen at /dashboard (shown as Home in the nav) — a live, read-only pulse of the shop: a metrics band (New Leads, Active Jobs, Revenue (Paid), Outstanding), job & quote pipelines, team workload, low-ink alerts, and a click-through recent-activity feed, plus the owner's dismissible Finish setup checklist; the Overview tab needs the Dashboard permission, which only the built-in Manager role holds, while the Today tab (daily ops) opens for every built-in roleref

Public flows

ModuleWhat it isReference
TrackThe public, no-login page your customer opens (wraptor.app/track/<code>) — your logo and name up top, Step N of M across the stages you turn on for customers (Settings → Workflow → Customer column), a plain-English status, the expected completion date (unless you hide it per job), an Updates timeline, a card for their quote, one card per open invoice with the balance due, their proof, documents to sign, drop-off/pickup inspections (photos, video clips, graded checklist, signed-report PDF), and — once the vehicle is actually handed over, never on a cancelled job — a review prompt worded for the trade ("Happy with your window tint?"), shown only while your Review request row is on, not narrowed to your Wraptor listing, and carrying your Google review link. Every job gets a link, managed from the job's Customer tab; a Powered by Wraptor line shows only on the still-public pages of a shop with no plan — never on the trial or a live planref
DirectoryThe public shop directory at /shops — customers browse and compare shops, then contact or request a quote from the selected shop directly; verified customer reviews land on your listing. Wraptor does not sell public designs, fund free concepts, or take the shop's leadref

Public touchpoints proof-approval, pay, and request-a-quote are documented inside Proofs, Invoicing & billing, and Quotes respectively. The customer's tracking, quote and pay pages share one look — your logo up top, your contact details in the footer — and the quote, pay, proof and signing pages each carry a ← Back to your job link; every email sent to a customer carries a Manage what we email you link to their own email-preferences page.

Freelance installers

ModuleWhat it isReference
InstallersThe retained installer profiles, messaging, and escrow mechanics behind Wraptor's private design/install network. Browsing is open to anyone; sending a hire request or starting a message thread comes with Wraptor Shop and Wraptor Fleet. It is not a public buyer marketplace or a separate subscription—
