How to Switch Your Wrap Shop to Wraptor Without Losing Data (From Spreadsheets, Jobber, Tint Wiz, and More)

How to move a wrap, tint or PPF shop to Wraptor without losing data: what to export from your old tool, running the guided import, checking the mapping, open jobs vs history, a week of overlap, and cutover.

How to Switch Your Wrap Shop to Wraptor Without Losing Data (From Spreadsheets, Jobber, Tint Wiz, and More)

To switch wrap shop software without losing data, export your customers (with their vehicles) and your open jobs as CSV files, import them into the new system before you cancel the old one, check the column mapping and the preview counts, and run both tools side by side for about a week before you cut over. In Wraptor, the import hub has guided imports for OrbisX, Urable, Tint Wiz, Zoho CRM and Jobber, recognizes Trello, Asana, monday.com, ClickUp and Jobber job exports, and takes any other CSV, spreadsheets included. Quotes, invoices and payment history don't import, so closed invoices stay in your old tool's export or your accounting software.

The short version

  • •Export before you cancel anything. Customers, vehicles and open jobs as CSV files, plus whatever full archive the old tool offers.
  • •Import customers first, then jobs. The jobs import matches customers by company name, so the customer list should be in place first.
  • •Nothing is written until you press Import. Check the Maps to column and the preview counts; a corrected customer file can be re-uploaded and updates records instead of duplicating them.
  • •Move open work; leave history where it is. Open jobs belong on the new board. Old invoices and payments stay in the export file and your books.
  • •Overlap for a week, then cut over. New work starts in Wraptor on day one, and the old tool turns read-only until its last invoices are paid.
  • •Your customers don't have to do anything. Quotes, invoices and tracking pages are no-login links with your logo.

What moves, and what stays behind

Wraptor's importer has two lanes, Customers & vehicles and Jobs (Imports). Everything else is set up fresh or stays behind.

DataImports?Notes
Customers: company, contact, email, phone, address, website, notesYes, customers laneRe-uploads update the same customer
Newsletter opt-inYes, as a yes/no columnNew customers start opted out unless the column says yes
Vehicles: year, make, model, color, VIN, plateYes, one per row of the customer fileThey arrive typed as Car; the body configuration isn't a column
Open jobs: title, stage, customer, dates, priority, sq ft, wrap type, notesYes, jobs laneYour old lists map onto your Wraptor stages
Closed jobsOptionalGrouped together and pre-set to your last stage
Quotes, invoices, paymentsNoKeep them in the old tool's export or in QuickBooks or Xero

Spreadsheets are the simplest case: save each tab as a CSV and use the plain-CSV door (the spreadsheet alternative covers what changes day to day). Still deciding whether it's time? Read why wrap shops outgrow spreadsheets.

Step 1: Export from the old tool

Export before you sign up anywhere new, so the files are ready the day your trial starts. Why shops leave each tool is laid out in Wraptor vs Jobber and Wraptor vs Tint Wiz; this guide is about the move itself.

Coming fromExportNotes
JobberClients → the ⋯ menu → Export as CSVJobs: Insights → Reports → One-off jobs report, with client name, title, dates and job number added under Columns
Zoho CRMContacts → ⋯ → ExportAccounts exports work too; map Account Name to Company by hand
Tint Wiz, OrbisX, UrableThe tool's customer CSV exportNo published format, so Wraptor's auto-mapper reads the headers
TrelloMenu → Print/Export → JSONCSV export needs Trello Premium; the jobs import reads JSON
monday.comExport, then Save As → CSV UTF-8Add an Item ID column first so re-imports don't duplicate
Asana, ClickUpCSV exportSubtasks are dropped, not imported as extra jobs
A spreadsheetSave As → CSVOne row per vehicle, company name on every row

Also save whatever full archive the old tool offers, such as invoice PDFs and payment reports; your accountant may want it later.

Step 2: Set up the shop before you import

Do the basics first, so imported jobs land on stages you recognize and the first quote goes out on your numbers (Onboarding).

  1. 1.Start the trial. New shops begin on a 7-day Wraptor Shop trial with no card, and the owner gets an invitation to Start guided setup.
  2. 2.Confirm your shop name and region, then your main service: wraps, tint, PPF, print, signs, full-service shop or independent installer. Wraptor tailors the starting workflow and labor pricing to it.
  3. 3.On Check your numbers, set your Installation rate, Sales tax rate, Deposit on new quotes and Logo, then click Save and continue.
  4. 4.Open Settings → Workflow and rename the stages to match how your crew talks. The jobs import maps your old lists onto these stages, and it can create any that are missing.

Step 3: Run the guided import for customers and vehicles

  1. 1.Open the migration hub (/import in the app, headed Bring your shop's data). Guided setup's Import step and the first-run Moving from another system? panel link to it too.
  2. 2.Click your tool's tile (OrbisX, Urable, Tint Wiz, Zoho CRM or Jobber) or Another tool / plain CSV.
  3. 3.On Upload, choose the CSV. A recognized export says it was detected, with the mapping pre-filled; anything else is mapped by header name, so columns like "Cell Phone" and "Vehicle Make" land on the right fields.
  4. 4.On Map columns, if most columns came in as — ignore —, click Auto-map with AI. It sends only the headers and up to three sample rows, never the whole file, and costs no AI credits.
  5. 5.Continue to Preview, read the counts (see the next step), then click Import N customers.

The file is read in your browser; only the mapped rows are sent, up to 200 at a time. If a file won't map, the hub's Send it to us link goes to support@wraptor.app, and the team will map it with you.

Step 4: Check the mapping before you press Import

Nothing is written until you press the final button, so be fussy here.

  • •Read the Maps to column row by row. Each field takes one column; map a second column to Email and it resets to — ignore — with a note. Every row needs a way to name the customer (company name, contact name, first or last name, or email); a phone number alone isn't enough.
  • •Read the preview line. It reads "N rows · N new · N update existing · N in-file duplicates skipped". Watch the two amber warnings: rows whose email and phone point at two different customers, and rows matched by phone only to a customer with a different email (two businesses on one office line). The second kind still updates that customer, so fix the file first if they're different people.
  • •Clean up email cells. Wraptor emails one address per customer: a cell with two addresses only reaches the first, and an invalid one doesn't send.
  • •Spot-check after the run. The result line reads "N created · N updated · N duplicates skipped · N failed", with failures listed by row. Open five customers you know well and check their contacts and vehicles against the customer and vehicle records you expect.

Mistakes are cheap to fix. Re-uploading a corrected file updates the same customers (matched on Source ID, then email, then phone) and vehicles (matched on VIN, otherwise owner, year, make, model and plate), and only cells with a value overwrite what's on file (Customers). Map a Source ID column whenever your old tool exports one.

On vans you'll quote by area, set the right Vehicle Type and put the full body configuration in Wheelbase (148" High Roof T-250): the estimator matches year, make, model and Wheelbase against 2,232 measured vehicles, and a bare length doesn't identify a van.

Step 5: Bring open jobs over, and decide about history

Import jobs after customers, so each job finds its customer by company name.

  1. 1.Click Import jobs on the jobs board, or the Jobs card on the hub.
  2. 2.Upload the CSV, or a Trello JSON export. To include closed Trello cards, tick Include archived / closed cards (Trello JSON export only) before uploading.
  3. 3.On Map columns, map Title (required) plus whatever you have: description, stage or list, customer, dates, priority, estimated sq ft, wrap type, notes. An unrecognized file starts on — ignore —, and there's no AI button in this lane.
  4. 4.On Map stages, point each old list at a Wraptor stage, or click Create stage to add one with the same name. That button writes immediately.
  5. 5.Continue, read the preview, and click Import N jobs.

Map a Source ID column here too: it's the jobs lane's only protection, and without it a second upload of the same file copies every job. Rows with no customer land in Unassigned; click the Needs a customer chip on the board and use Assign a customer… on each.

Open jobs versus history

  • •Import: everything still in motion, from leads you're working to vehicles waiting on pickup or payment.
  • •Your call: closed jobs. The wizard groups them as Closed / completed rows, pre-set to your last stage, where they sit on the board until each one is archived. Bring them if your team looks things up by job; otherwise the customer and vehicle records carry the history that matters.
  • •Leave behind: old quotes, invoices and payments. Rebuild open quotes in Money → Quotes → New Quote and collect old invoices where they were issued.

Bottom line: the new board should show what's happening now, not years of finished work.

Step 6: Run both tools for a week

A week of overlap catches what the export missed. Set the rules on day one:

During the overlapOld toolWraptor
New leads and quotesNothing newStart every one here
Jobs in progressRead-only referenceMove stages here
Quotes already sent from the old toolLet the customer answer thereCreate the job here when they say yes
Invoices already sentCollect them thereNothing
New invoicesNothing newSend from here
Customers added mid-weekExport againRe-upload; records update instead of duplicating

Use the week to connect the money. Under Money → Payments, click Set up payouts so pay links take card and bank (ACH) payments; until then the pay page shows How to pay with your own instructions. Under Settings → Accounting & Billing, click Connect QuickBooks or Connect Xero; the first run asks whether to Import customers, and one whose email or name matches a customer you imported is linked, not duplicated. Imported customers reach your books with their first synced invoice, or when you press Sync Now.

Step 7: Tell customers what changes (almost nothing)

Customers never log in. Quotes, invoices, tracking pages and the account page open as links on any phone with your logo, and the "Powered by Wraptor" line is hidden during the trial and on every plan. Until you connect your own mailbox (during the trial, the one you already use; a hosted WrapMail address needs a paid plan), emails go out from a no-reply address in your shop's name, with replies going to your shop's contact email.

Imported customers start opted out of your newsletter, and quote reminders, win-back and the job milestone emails stay off until you switch them on. A short note to your regulars covers the rest:

"We've moved our quoting, scheduling and billing to a new system. Quotes and invoices will now arrive as links from [your shop]: tap to review, approve or pay. There's nothing to download or sign up for, and our number hasn't changed."

Send it once the old tool's open invoices are collected, so nobody is paying you in two places.

Step 8: Cut over

  1. 1.Run a final export from the old tool and re-upload the customer file. Customers and vehicles update; jobs with a Source ID skip duplicates.
  2. 2.Confirm every invoice the old tool sent is paid or recorded in your accounting software.
  3. 3.Store the old tool's full archive where the whole team can find it.
  4. 4.Switch on what you want in Wraptor: Quote reminders and the milestone emails under Settings → Customer messages, and the Customer column under Settings → Workflow so tracking pages show progress.
  5. 5.Pick a plan before the trial ends: Wraptor Starter ($99/month, two seats, one location) or Wraptor Shop ($199/month, unlimited seats). If the trial runs out first, the workspace pauses on the plan picker and keeps every record.
  6. 6.Cancel the old subscription.

The exit works the same way: Settings → Shop Settings → Export Your Data → Download export... gives you a ZIP of CSV files covering customers, jobs, quotes, invoices, payments, inventory, leads and more.

Bottom line: cancel the old tool last, after the final re-upload and the last old invoice.

Start the switch with one export

The whole move starts with a CSV of your customers. Export it today, start a 7-day free trial with no card required, and run the file through the import before you commit to anything. If you'd rather do the mapping with someone, book a demo and bring your export.

FAQ

How do I switch wrap shop software without losing data? Export customers, vehicles and open jobs as CSV files, import them before you cancel, check the mapping and preview counts, and run both tools for about a week. Wraptor's importer brings customers, vehicles and jobs only, so keep closed invoices and payment history in the old tool's export or your accounting software.

Can I import my customers from Jobber into Wraptor? Yes. Export Clients from Jobber as a CSV, open the Jobber tile in Wraptor's import hub, and the export is detected and pre-mapped. Jobber jobs come from its One-off jobs report and go through the separate jobs import.

Does Wraptor import invoices and payment history? No. The importer brings customers, vehicles and jobs. Past invoices and payments stay in your old tool's export or in QuickBooks or Xero, which Wraptor can connect to for new invoices and payments.

What happens if I import the same file twice? Customers and vehicles update instead of duplicating: rows match on Source ID, then email, then phone, and only filled cells overwrite. Jobs are only protected when the file has a Source ID column; without one, a second upload creates a second copy of every job.

Do my customers need to do anything when I switch? No. Quotes, invoices and tracking pages are links that open without an account and carry your logo. Tell regulars that quotes and invoices will arrive as links from your shop, and collect the invoices your old tool sent before you cancel it.

How long should I run both systems? About a week. Start every new lead, quote and invoice in Wraptor from the first day, keep the old tool read-only for lookups and for collecting its last invoices, then re-upload a final customer export and cancel.
