Autopilots — every automation engine, named, with real 30-day stats

Who it's for

The owner or manager who wants to know exactly what Wraptor is sending to customers on its own. Wraptor runs several automated messaging engines behind the scenes (quote nudges, review asks, ready-for-pickup notices, appointment reminders); Autopilots is the one screen that names each one and shows what it has actually sent in the last 30 days. The switches themselves live on Settings → Customer messages — every card here carries a Manage link (or Set up, when the engine has nothing configured yet) that opens that page.

Where it fits

Autopilots is a section of the Promote tab in WrapStudio: WrapStudio → Promote → Autopilots (/studio?tab=promote&section=autopilots). Its neighbours in the Promote strip are Campaigns and Newsletter. The old addresses still work: /marketing/autopilots and /marketing?tab=promote&section=autopilots both redirect here, so older bookmarks and links inside Wraptor keep landing on the right page.

It is cross-cutting — the engines it lists touch the quote stage (quote reminders, win-back), the lead stage (lead second touch), the complete stage (review requests, ready for pickup) and scheduling (appointment reminders). Overview

Several parts of Wraptor email your customers automatically, without you clicking Send: a quote that has gone unopened gets a nudge, a finished job gets a review request, an upcoming install gets a reminder. Autopilots collects these into one gallery of cards so they are not invisible — each card names the engine, explains in plain English when it fires and what it sends, and shows a real count of what it has sent in the last 30 days, pulled from Wraptor's own send log rather than a marketing estimate.

This page is read-only. It is the scoreboard; Settings → Customer messages is the control panel. That is deliberate: one place holds every switch, its timing and its last-sent line, so there is never a second copy of a setting to get out of step.

Nothing on this page is simulated. A card reading "0 sent · last 30 days" means the engine genuinely has not sent anything for your shop yet — often because it is off, or because its prerequisite is not configured.

Screens & navigation

Autopilots (/studio?tab=promote&section=autopilots) Reached from WrapStudio in the sidebar's Studio group → the Promote tab → the Autopilots section. The screen is a grid of cards, one per automation engine. Each card shows:

  • The engine's name and, under it, a status pill — On, Off, Needs setup or Platform-managed.
  • A link in the top-right corner: Manage, or Set up when the pill reads Needs setup. Both open Settings → Customer messages (/settings?section=email), except Lead Second Touch, whose link opens Settings → Team notifications. The link opens the page, not a highlighted row — scroll to the row named in the table below.
  • A plain-English description of the trigger and the message.
  • A stats line — 12 sent · last 30 days. The Review Flywheel card adds a click count: 12 sent · 4 clicked · last 30 days.

There are no switches on the cards themselves.

What the counts mean Every number comes from Wraptor's own send log, scoped to your shop and the last 30 days. "Sent" means the message left Wraptor — that includes one queued behind quiet hours, and one that later bounced or was marked as spam. It excludes messages that never went: a failed send, and a send a door declined before it ran (shown as Suppressed on the Activity timeline). The clicked figure on the Review Flywheel counts review-ask emails whose "Leave a review" button was clicked.

Manage links, not switches Autopilots reads the same shop settings that Customer messages writes. Flip a switch there and the card here changes its pill on the next load — for Quote Chaser, Dead-Quote Win-Back and Job Ready Notify. The other three pills follow different rules: the Review Flywheel reads On whenever there is somewhere to send an ask, and Appointment Reminders and Lead Second Touch always read Platform-managed.

Not every automated email has a card here Autopilots lists the engines in the table above. Wraptor sends plenty more on your behalf — quote sent, approval confirmation, invoice sent, invoice reminders, payment receipts, proof ready, job updates, the Scheduled and Work started milestones, documents to sign, booking confirmed/declined/changed, and warranty expiry notices. The complete list, in the order a customer would receive them, is on Settings → Customer messages.

Step-by-step tasks

  1. See what's actually running

    1. Open WrapStudio → Promote → Autopilots.
    2. Read each card's status pill and stats line to see what is on, what is off, and what has already gone out in the last 30 days.
  2. Turn an engine on or off

    1. Click Manage on its card. You land on Settings → Customer messages.
    2. Find the row named in the table above and flip its switch — it saves immediately, no save step. If the write fails the switch flips back and tells you why.
    3. Come back to Autopilots later to watch the stats line move.
  3. Get the Review Flywheel sending

    1. If its card shows Needs setup, click Set up.
    2. On Settings → Customer messages, scroll to After the job → Review request.
    3. Paste your Google review link into Google review link and press Save link, and/or claim your directory listing.
    4. Pick a destination under Ask on — Google, Wraptor listing or Both — and set Send after to the number of hours you want to wait after the job finishes.
    5. Turn the row's switch on. Send me a test then sends the Google version of the email to your shop's own address — it needs a saved Google review link, so a listing-only setup has nothing to test with.
    6. Return to Autopilots; the card now shows On.
  4. Stop the Quote Chaser on one quote without turning it off everywhere

    1. Open the quote and use its Actions menu → Pause follow-ups.
    2. The same menu offers Resume follow-ups afterwards. Wraptor also pauses follow-ups by itself once a customer replies to one.

Settings & permissions

Who can view it Autopilots sits behind the Marketing permission, which the built-in Manager role holds and the Designer, Production and Installer roles do not. There is no plan gate — the page is open on every plan, the 7-day free trial included.

Who can change an engine Nobody changes anything from this page. Opening Settings at all needs the Settings permission, and so does flipping any switch on Customer messages. A team member who can see the Autopilots gallery but not Settings follows a Manage link straight back to the job board — grant them the Settings permission in Shop → Team if they need to control an engine.

Quiet hours holds the customer-facing engines If your shop has quiet hours configured on Settings → Customer messages, the customer-facing engines on this page — Quote Chaser, Dead-Quote Win-Back, Review Flywheel, Job Ready Notify and Appointment Reminders — queue their messages and send them when the window ends. Nothing you press Send on is ever held. Lead Second Touch emails you rather than a customer, so it ignores the window. Quiet hours and the timezone they run on live on the Customer messages page.

Your customers can opt out A customer who turns off Reminders about your work on their own preferences page (the Manage what we email you link in your emails) is skipped by the Quote Chaser, Win-Back, Appointment Reminders and the Review Flywheel. Job Ready Notify is part of the work itself and still sends.

Tips & common pitfalls

  • Off by default means off. A brand-new shop's Quote Chaser, Win-Back and Job Ready Notify cards all show Off and 0 sent until you flip their rows on Customer messages — Wraptor never nudges your customers on your behalf without you opting in. Appointment Reminders ship on; turn the row off if you would rather.
  • "Needs setup" isn't broken. The Review Flywheel card shows Needs setup only because it has neither a Google review link nor a claimed listing — it is a missing prerequisite, not an error. Both are set up from the Review request row.
  • The Review Flywheel pill only asks "is there somewhere to send". If you turn the Review request switch off but leave your Google review link saved, the card still reads On while nothing is being sent. The Review request row on Customer messages is the honest answer.
  • Appointment Reminders always reads Platform-managed, even though it does have a switch — the Appointment reminder row on Customer messages. Its count reflects the install nudges; online-booking reminders are recorded under their own name, so they show on the Appointment reminder row and the Activity timeline but not in this card's number.
  • Job Ready Notify covers one milestone of three. The Scheduled and Work started milestone emails have their own switches on Customer messages and no card here, so their sends do not appear in this gallery.
  • Looking for the switch? It's not here. Cards are read-only on purpose. Manage is the way in.
  • These are emails. Every engine on this page sends email. Wraptor does not text your customers today — the Text messages — coming soon row on Customer messages is exactly that, coming soon.
  • The engines run for every shop. Automated customer mail goes out in your shop's name from Wraptor's own sending address, on every plan and during the trial.
