Table of Contents
To keep wrap customers updated without the phone calls, give every customer a live tracking page they can check on their own, email them automatically at the three moments that change their plans (booked, started, ready), and write a personal update only when something goes off-plan. In Wraptor, every job gets a no-login tracking link the moment it's created; you pick which stages customers see in Settings → Workflow, switch the milestone emails on in Settings → Customer messages, and send one-off news from the job's Customer tab. Automatic customer messages are email only today, so copy the link into your own texts if you need to.
The short version
- •Give customers a page instead of a phone number. Every job has a no-login tracking link with a step count, their quote, proof, documents to sign, and open invoices.
- •Show customers their words, not yours. You choose which stages appear and what each is called, so "Bay 2" can read "Being installed."
- •Email at milestones, not every stage. Scheduled, Work started, and Ready for pickup each send at most once per job, and all three are off until you switch them on.
- •Write the exceptions yourself. Send an update on the job's Customer tab emails the customer and posts the same words on their page.
- •Ask for the review at the finish. The Review request row sends one ask per job after a delay you set.
- •Plan on email only. Wraptor doesn't text customers yet; the Text messages row is marked coming soon.
Why customer updates matter in a wrap shop
A customer hands you a vehicle they drive every day, then waits while it moves through design, print, and install. When nobody tells them anything, they call, and each "any update?" call pulls someone off the counter or out of the bay to answer a question the customer could have answered alone.
The fix has three parts: a status page the customer can check at 10 p.m., a few predictable emails at the points that change their plans, and a short personal note when something changes. Stage-by-stage emails on top of that just train customers to ignore you.
Wraptor keeps two decisions apart on purpose: what the customer sees on their page (Settings → Workflow) and what lands in their inbox (Settings → Customer messages). Showing a stage never emails anyone.
| Moment | What the customer wants to know | How Wraptor covers it |
|---|---|---|
| Install booked | When to drop off and when it'll be done | Scheduled email, with the due date unless you hide it |
| Work begins | That the vehicle is in the bay | Work started email, once per job |
| Something they owe | What to approve, sign, or pay | Waiting on you list on the tracking page |
| A delay or change | What changed and the new plan | Send an update on the Customer tab |
| Finished | When to pick up and what's owed | Ready for pickup email; invoice card with the live balance |
| After pickup | A review | Review request email and the tracker's review prompt |
Bottom line: a page for the routine questions, three emails for the milestones, and your own words for everything unexpected.
What the customer sees on the tracking page
The job tracker is a public page with no login; the customer just opens the link. It's unique to each job and updates as you move the job across your board. From the top:
- •Waiting on you: one row per thing they owe you (a past-due invoice, Review and approve your quote, Review and approve your design, Review & sign for each document, other open invoices), each going straight to the page where it gets done.
- •Where the job is: a headline in the words of their trade ("We've started on your window tint.") and a step bar such as Step 3 of 6 across the stages you chose to show. It counts real steps, not a made-up percentage.
- •Job details: title, number, vehicle, and an Expected completion date whenever the job has a due date, unless you switch off Show the due date on their page on the job's Customer tab.
- •Paperwork cards: the sent quote, each open invoice with a Pay securely online → link once Stripe is connected, the proof, documents to sign, and drop-off and pickup inspection reports once you submit them.
- •Updates: the stage moves the customer is allowed to see, plus every Send an update message. Internal notes and hidden stages never appear.
- •A review prompt once the job is complete, and your shop's contact details in the footer.
Your logo heads the page, and every current plan, the trial included, drops the "Powered by Wraptor" note. A tint customer reads "your window tint" and a PPF customer "your paint protection film", never "your wrap". Full reference: the Track manual.
Step 1: Choose which stages customers see
Your board is built for the shop floor. Customers don't need "Lead" or "QC," and "Bay 2" means nothing to them.
- 1.Go to Settings → Workflow.
- 2.Quickest route: in the Customer view row, click your trade (Wrap, Color Change, Tint, PPF, Print, Signs, or Full Service) and confirm. Wraptor opens the eye on the stages that preset knows and fills in customer wording you haven't typed.
- 3.Or go stage by stage: in the Customer column, click the eye on each stage to show, and type what the customer should call it. Blank shows your own name.
- 4.Read the line under the stage list, for example "Customers see 4 of 7 stages: Quote sent → Scheduled → Being installed → Ready for pickup".
Hidden stages don't count toward the step bar. Boards that existed before the Customer column shipped start with every stage hidden, so an older shop has to switch the page on; the job's Customer tab warns in amber when the page can't show progress, with an Open settings link. Saving stages needs the Settings and Jobs permissions.
Bottom line: hide everything before the point a customer would recognize the job, and rename the rest in plain language.
Step 2: Turn on the milestone emails
Wraptor doesn't email per stage. It sends three fixed milestones, each tied to what a stage does rather than its name, so renaming "Installing" to "In the bay" breaks nothing.
- 1.Go to Settings → Customer messages.
- 2.Switch on Scheduled, Work started, and Ready for pickup, or just the ones you want. Each row names the stage that sends it.
- 3.Click Edit what the customer reads to write your own sentence per bound stage, or leave it empty for Wraptor's trade-worded default.
Each milestone goes out once per job: dragging a job out of a stage and back in doesn't email twice, and Work started fires on the first work stage only. They fire from every door, including the installer's work view. Ready for pickup follows your finished stage, set in Mark jobs complete when they reach under Settings → Workflow → Automation. No preset or update turns them on for you, and a row with no matching stage shows an amber warning and never sends.
How every row on Customer messages ships:
| Default | Rows |
|---|---|
| Always (sends when you press Send or the customer acts) | Quote sent, Approval confirmation, Invoice sent, Payment receipt, Proof ready, Job update, Document to sign, Booking confirmed, declined or changed |
| On unless you turn it off | Invoice reminders, Appointment reminder |
| Off until you turn it on | Quote reminders, Win-back at 30 and 60 days, Scheduled, Work started, Ready for pickup |
| Old rule until you touch it | Review request (on once a Google review link is saved or your directory listing is claimed) |
| Listed, no switch | Warranty certificate and expiry |
| Coming soon, no switch | Text messages |
Each row's exact timing is in the Settings manual.
Bottom line: turn on the milestones once, and stage moves keep customers posted without a decision on every drag.
Step 3: Send a one-off update when something changes
Milestones can't predict a back-ordered roll or a color swap. That's what the job's Customer tab is for.
- 1.Open the job and go to the Customer tab. Check the contact email and fix it inline if it's wrong; a milestone with no address is skipped silently.
- 2.Click Send an update, write up to 1,000 characters, and press Send update. It emails the customer and lands on their page under Updates.
A useful update says what changed, what it does to the date, and whether you need anything: "The satin black for your hood arrives Thursday instead of Monday. We'll finish Friday afternoon; nothing needed from you." With the AI permission, Draft with Rex beside the button drafts one to edit. Moving a card never pops a "do you want to email the customer?" prompt; that design nagged shops on every drag and is gone.
The same tab has Send tracking link and Copy link, Preview as customer (which doesn't count as their visit), a counter like "Opened 3 times · last …" with a bell the first time they look, and Regenerate link if the link went to the wrong person. More in the Jobs manual.
Bottom line: if a customer would call about it, send an update before they do.
Step 4: Hold automatic emails overnight
If an installer finishes at 11 p.m., you may not want the email landing then.
- 1.On Settings → Customer messages, scroll to Quiet hours.
- 2.Pick your Timezone beside the switch; quiet hours won't turn on without one.
- 3.Toggle quiet hours on and set From and To.
Automated sends inside the window wait until it closes. Your own Send clicks always go out immediately. Quiet hours are off by default.
Step 5: Ask for a review when the job is done
- 1.On Settings → Customer messages, find the Review request row.
- 2.Paste your Google review link and click Save link.
- 3.Pick Ask on: Google, Wraptor listing (needs a claimed directory listing), or Both.
- 4.Set Send after in hours from when the job reaches your finished stage (0 to 720).
- 5.Switch the row on, and use Send me a test to read the email first.
Each job gets one ask. Once a job is complete, the tracking page also shows a Leave a Review button worded for the trade ("Happy with your window tint?"); it needs the saved Google link. One catch: Ready for pickup and the review ask key on the same finished stage, so with Send after at 0 the customer can be asked before they've seen the car. Set the delay to cover your usual pickup window.
Bottom line: save the Google link and set a delay that lands the ask after the customer has driven away.
Check what actually went out
When a customer says "I never got anything," look before you resend. Activity at the bottom of Settings → Customer messages shows every customer message with its real status (Queued, Delivered, Opened, Bounced, Failed, Suppressed, and others), the reason on bounced, failed, and suppressed rows, and Cancel for anything still queued. What we've sent them on the job's Customer tab shows one customer's history.
If a milestone didn't send, the usual reasons are: the row is off, no stage plays that role, it already went out on this job, there's no email on file, or the primary contact has Reminders by email off. Customers can change that themselves from the Manage what we email you link in the footer of your quote, proof, invoice, and receipt emails, which opens switches for Reminders about your work, News and offers, and Text updates. Quotes, invoices, and job updates always send. More in can customers control which emails they get.
The limit: email only, for now
Every automatic customer message Wraptor sends today is an email. The Text messages row on Customer messages reads Coming soon with no switch, and the customer's Text updates preference is stored for when texting ships. If your customers live in their texts, use Copy link on the Customer tab and paste the tracking link into your own message; chat-app link previews don't count as a view. Current status: does Wraptor send text messages. The short answer for prospects: can my customers track their wrap job.
Bottom line: set the page and emails up once, and text the link by hand to customers who'd rather not check email.

FAQ
Do customers need an account to see their wrap job's tracking page? No. Every Wraptor job gets a tracking link when it's created, and the customer opens it on any phone without a login. Anyone holding the link can see that job, so share it only with the customer.
Does showing a stage on the tracking page email the customer? No. Which stages customers see is set in Settings → Workflow, and which stage moves send email is set in Settings → Customer messages. Turning a stage on is display only.
Which customer emails are on by default in Wraptor? Invoice reminders and the appointment reminder ship on. Quote reminders, win-back, and the Scheduled, Work started, and Ready for pickup milestones ship off until you switch them on. Emails tied to something you send, like a quote or invoice, go out whenever you press Send.
Can a customer get the same milestone email twice? No. Wraptor checks whether a milestone already went out on that job, so moving a job out of a stage and back in doesn't email again. Work started sends once even when a job passes through several work stages.
Can Wraptor text customers their job updates? Not today. Every automatic customer message is an email, and the Text messages row in Settings is marked coming soon. You can copy the tracking link from the job's Customer tab and text it yourself.
How do I know if a customer opened their tracking link? The job's Customer tab shows how many times the link was opened and when, and you get a notification the first time a customer views it. Your own Preview as customer view doesn't count.
