The Wraptor handbook

Workflow Map

The Wraptor job lifecycle, end to end. Each stage links the modules that operate in it.

0. Get found → Directory, Website Builder — the public front door. A customer browses and compares shops on the consumer directory (branded FindAWrap) or lands on your hosted shop website (paid plans), then contacts the selected shop directly. The request becomes that shop's lead; Wraptor does not resell it.

  1. Lead → Marketing, Customers, Inbox, request-a-quote (in Quotes) — directory requests, website quote requests, and email inquiries land in Leads (/leads) and become customers.
  2. Quote → Quotes, Customers, Vehicles, Settings — Money → Quotes → New Quote: pick the customer, what you're selling, and (optionally) the vehicle, then Start quote. The quote page opens already priced from Money → Quote Settings, in the pricing mode that service defaults to — Flat price, Per unit, or Estimate by area. Add optional add-ons the customer can tick, or Good/Better/Best options under Advanced. Send quote emails the customer and only then marks the quote sent; Copy link and I shared it another way cover text, phone, in person, printed, and link. The customer approves on a no-login public link. Opt-in Quote reminders and Win-back at 30 and 60 days (Settings → Customer messages) keep a sent quote from going cold.
  3. Proof → Proofs, Studio, Files, WrapStudio Design — the shop creates or imports artwork, then sends the mockup for no-login approval. WrapForce, the private certified installer and designer network, comes with Wraptor Shop and Wraptor Fleet for overflow design and install work; Wraptor does not sell designs to the public.
  4. Schedule → Calendar, Team, Online Booking — book the install into a bay and assign the crew. Customers can also request a slot on your public booking page, which you confirm, decline, or reschedule.
  5. Produce → Ops, Inventory, Purchasing, Equipment, Colors — print, laminate, and prep; material is deducted and the daily checklist runs.
  6. Install → Calendar, Ops, Jobs, Inspections — the wrap goes on the vehicle. Check-in/check-out condition reports (photos, a graded checklist, damage notes, customer e-signature) bookend drop-off and pickup, and show on Track.
  7. Invoice → Invoicing & billing — once an approved quote has its job, Request deposit / payment creates the invoice, marks it sent, and copies the pay link in one step. When a customer approves online you can have Wraptor raise the deposit invoice for them (Money → Quote Settings → Quote defaults → Request the deposit automatically when a customer approves online). The customer pays by card or bank (ACH) on a no-login link and gets an automatic receipt; until your Stripe payouts are set up the pay page shows a How to pay block instead of a card button.
  8. Follow-up → Marketing, Customers, Warranty Certificates, Reports — a finished job triggers the Review request row (Settings → Customer messages), which asks on Google, your Wraptor listing, or Both, and feeds the next campaign.

Cross-cutting (active in every stage):

  • Jobs is the spine record threaded through every stage — the job board is the workflow. Each job's Customer tab holds the tracking link, Send an update, and the log of what you've sent that customer.
  • Track is the customer's own page for the job: public, no-login, and always current. It reads Step N of M across the stages you switch on for customers (Settings → Workflow → the Customer column), with cards for their quote, their proof, documents to sign, their inspections, and every open invoice with its balance. Boards that existed before the Customer column shipped start with every stage hidden until you turn stages on.
  • Customer messages (Settings → Customer messages) is the one list of every email your customers get across the whole map, each with a switch or an Always chip, plus quiet hours and an Activity log of what actually happened to each send. See Settings.
  • Rex is your shop's assistant — the Rex tab on the slide-out panel on every screen, the /ai page with chat threads, and a shared Rex tab on each job. Rex answers from your live shop data and can act — create a customer, move a stage, send an email — only after you confirm an approval card.
  • Dashboard overview — /dashboard, shown as Home in the nav — surfaces the current state across all stages.
  • Every plan runs this whole map, the 7-day free trial included (no card required, no caps): every section is open, and the only things that gate themselves in place are the paid-cost features tied to a higher plan, two of which sit on this map: the hosted shop website (stage 0) and WrapForce (stage 3). There is no free plan — a shop without a plan lands on the plan picker and keeps its data. Emailing a quote, an invoice, or a proof yourself works on every plan, and the automatic customer messages go out for every shop. See Plans.
