What Rex Can Do in a Wrap Shop: AI Assistant Workflows That Save Office Time

What Wraptor's AI assistant Rex does in a wrap shop: reads your live jobs, quotes and invoices, prices from your history, drafts quotes and follow-ups, and changes nothing until you press Confirm.

What Rex Can Do in a Wrap Shop: AI Assistant Workflows That Save Office Time

An AI assistant pays off in a wrap shop when it takes over the office errands that pile up after the bays close: pricing a job from what you've charged before, drafting the follow-up on a quote that went quiet, finding who still owes you, and telling you what's stuck. In Wraptor that assistant is Rex. He reads your live shop data and Wraptor's own manual, answers with your job numbers and customer names, and can create a customer, draft a quote, move a stage or send an email, but only after you press Confirm on an approval card. He never acts on his own, never reads past your role, and never takes orders from a customer's email.

The short version

  • •Rex answers from your records. Jobs, customers, quotes, invoices, proofs, pricing history and inventory on every question, and the rest of the app when a question needs it.
  • •Every change waits for your Confirm. A card shows exactly what will be created, moved or sent before anything happens.
  • •He's on every screen. A slide-out panel over the page you're on, a full chat page, and a shared Rex tab on every job.
  • •The best prompts are office errands. Pricing a job, a customer update, unpaid invoices, what's stuck, a stock count.
  • •A new shop gets a first-win mode. On a trial, Rex starts with your first quote and asks one question at a time.
  • •The daily allowance depends on your plan. Rex doesn't spend AI credits.

Where AI saves time in a wrap shop

Most office work in a wrap shop is small lookups and small writes. What did we charge for the last Transit? Which quotes never got an answer? Who still owes a balance? Is there enough gloss black for Thursday? Each is a few minutes of clicking; twenty of them fill the evening. A general-purpose chatbot can't help, because it doesn't know your rates, your customers or your board. The test for a shop assistant is short:

What to checkWhy it mattersRex
Reads your real dataAverages price your work wrongReads your live jobs, quotes, invoices and inventory
Asks before it actsOne wrong customer email costs more than the time savedEvery change is a card you confirm or cancel
Respects rolesAn installer shouldn't reach payroll through a chatbotSees only what the person asking can open
Admits what it doesn't knowAn invented price wastes the time you savedBuilt not to invent prices, limits or buttons

Rex is the assistant half of Wraptor's built-in intelligence: he finds answers and prepares actions, and your team decides what gets saved or sent.

What Rex reads

Rex reads jobs, customers, quotes, invoices, proofs, pricing history and inventory on every question. Payments, the calendar and bays, purchase orders, team and settings, the inbox, reports, leads, the website and WrapStudio he reaches through hub toolboxes he opens as needed. You just ask in plain words. He also reads:

  • •Wraptor's manual, answering with a link to the page.
  • •Your own documents. Upload SOPs, warranty terms and spec sheets (PDF, TXT or Markdown) under Knowledge on the Rex page, or use Import from Jobs. He searches a document once its card reads Ready.
  • •Trade knowledge: install troubleshooting, technique by film brand, tint law for all 50 states and DC, PPF coverage tiers, film warranties, and square footage from measured vehicle data.

He sees only what your role can see. Job chats are shared with everyone who has AI access, so in a job chat he won't read payroll, the inbox, team chat, your notifications or the Lead Inbox; ask those in a personal chat.

Where to find Rex

Rex isn't in the left nav. He has three homes, with the same lookups, actions and cards in each (how Rex works):

  1. 1.The slide-out panel. The ? button in the bottom-right corner → Ask Rex (on a phone, More → Ask Rex). It opens over your page, and Rex knows which job, customer, quote or item is on screen, so "what's left on this one?" just works. ⌘K / Ctrl+K → Ask Rex about this page opens it with that question typed.
  2. 2.The Rex page at /ai. Saved conversations under Job chats and Personal, the Knowledge pill, suggestion chips and your briefing card.
  3. 3.The job's Rex tab. Under Work, right after Details, marked Visible to your shop, with three openers: the vehicle's square footage, a drafted customer update, and what's left before the job leaves its stage.

Rex needs the AI Assistant permission. Manager and Designer have it; Production and Installer don't. Grant it under Shop → Team → Roles & Permissions.

How the approval card works

  1. 1.Ask in plain words: "add a customer called Perez Plumbing and start a full-wrap job for their Transit."
  2. 2.Rex answers with a card headed by a question: Create this customer?, Create this job?, Create this draft quote?, Move this job's stage?, Schedule this job?, Send this email? and others.
  3. 3.Read what it will touch: the job number and title, the customer, the address an email goes to, the stage it moves from and to, the bay, or the stock item and its count.
  4. 4.Press Confirm or Cancel. To change the proposal, cancel and ask again.

If something doesn't check out, such as a stage your shop doesn't have or a customer with no email, the card says so and Confirm stays off. A quote Rex creates is saved as a draft; sending it is still your move (quotes).

Bottom line: if a reply says something was done and you never saw a card, it wasn't done.

Prompts that save office time

Ask from the page the record is on and you can skip naming it. Anywhere else, give the job number or customer.

Quoting

AskWhat you get
"What should I charge for a Transit full wrap?"A range from your own completed jobs and rate card, or the last few prices you charged
"How many sq ft to wrap a Sprinter high roof?"Measured square footage, with variants when the model is ambiguous
"Draft a quote for a full printed wrap on Perez Plumbing's 2022 Transit"A Create this draft quote? card; the draft lands in Money → Quotes for you to check and send
Explain this quote on a job's Quotes tabA plain-language walk through the lines and total

Pricing answers need the Billing & Quotes permission. Give Rex standing rules once ("always quote install separately") and confirm the Remember this? card; remembered facts apply to everyone's chats and live under Settings → Rex memory.

Follow-ups and customer updates

  • •Briefing card: on /ai, each follow-up and the quiet quotes and no deposit tiles carry a Rex button that asks, for example, "Draft the follow-up for JOB-0042 …".
  • •Job card: Draft with Rex beside Send an update on the Customer tab writes the update; the Copy control puts it on your clipboard.
  • •Email: "Email Dana that her truck is ready Friday" brings a Send this email? card showing the address.

Customer messages go by email, so to text an update, copy Rex's draft and send it from your phone. One catch: if Rex sends a quote with "follow up if they don't open it" while your quote reminders are off, that turns them on for every open sent quote, and the card shows a Shop setting row saying so.

Money and pipeline

  • •"What needs my attention today?" The panel's Alerts tab keeps the standing list (past-due jobs, quotes about to expire, approved jobs with no install date, past-due follow-ups, low stock, thin margins), and each alert's Ask Rex button types it into the chat.
  • •"Take me to unpaid invoices." The panel opens the page and stays beside it.
  • •"What's left on JOB-0042?" Quotes with line items, invoices with payment status, proofs, notes and schedule in one answer.
  • •"Which kind of work made the best margin this year?" Rex reads the same numbers as Money → Reports (reports), which is Manager-only by default.
  • •"Put JOB-0042 in Bay 2 Thursday at 1pm with Mike and Ana." A Schedule this job? card lists the day, bay and crew. It needs the Calendar permission.

Inventory

  • •"How much isopropyl alcohol do we have?" On hand, unit, minimum and reorder link, found from a word or two of the name.
  • •"Set isopropyl alcohol to 3.5." An Adjust this stock count? card.
  • •"Add https://fellers.com/products/… to supplies." A new item with that link as its Reorder button.

Stock work needs the Inventory permission (inventory).

Bottom line: errands that took five screens become one sentence and one card.

First-win mode for a new shop

In a shop's first days, Rex leads instead of waiting. The quick start's Quote a job with Rex opens Rex, who drafts your first quote on one approval card you confirm (quick start). Until a real quote reaches a customer, for anyone who can create quotes:

  • •An empty chat greets you in your trade ("Tell me about a job you're pricing this week and I'll draft the quote for you.") with four chips: Draft a quote for a job I'm pricing, Set my rates and deposit, Bring in my customers and Show me how a job moves through the board. The greeting costs no Rex message.
  • •Rex leads with one concrete step and asks one question at a time.
  • •The quote can come on one Draft this quote? card listing the customer, vehicle, lines and total before tax. Confirm creates all three as a draft; nothing reaches the customer until you send it.

The mode steps aside once a real quote goes out, once you hide the setup checklist, or after the shop's first 30 days. The rest of the first hour is in getting started with Wraptor.

Limits and plans

Rex needs an active membership or a live trial, and he doesn't spend AI credits (those pay for WrapStudio images, video and vectorizing). Each plan sets a daily allowance of Rex messages for the whole shop:

TrialWraptor StarterWraptor ShopWraptor Fleet
Rex messages per day5050150400

A confirmed card counts as a message, and the day resets at midnight UTC. A monthly AI budget shared with Write with AI and the website copilot also applies. Allowances vary by plan and can change; the current table is in the plans guide. When a trial ends without a plan, Rex pauses and your conversations stay saved.

What Rex won't do

  • •Change anything without your Confirm, remembering a preference included.
  • •Take orders from your records. Emails, customer replies, lead messages, proof comments, booking and job notes and your documents reach him as untrusted data; a line telling Rex to do something is read as part of the record.
  • •Read past your role. Without Billing, a quote request gets a refused card.
  • •Make up numbers. He says when he doesn't know; for account or billing problems, use ? → Contact support.
  • •Answer leads alone. Rex lead replies, off until your shop turns it on, only drafts a first reply for your team to Send, Edit or Skip.
  • •Text customers or leave Wraptor. Customer messages are email today, and "take me there" only opens pages inside the app.

Try Rex on your own shop data

The quickest way to judge an assistant is to ask it about your own work. Start a free trial (7 days, no card required), press Quote a job with Rex on the quick start, and price a job you're actually quoting this week. If you'd rather watch Rex on a shop with real history first, book a demo.

FAQ

What is Rex in Wraptor? Rex is the AI assistant built into Wraptor. He reads your live jobs, customers, quotes, invoices and inventory plus Wraptor's manual, and answers with your own job numbers and customer names. He lives in a slide-out panel on every page, on the Rex page and on a tab in every job.

Can Rex change my shop data without asking? No. Every change, from creating a customer to sending an email, arrives as an approval card that shows what it will touch, and nothing happens until you press Confirm. That includes remembering a shop preference.

Can Rex send a quote to a customer? Rex drafts quotes, and a draft is saved for you to review before anything goes out. You send it from the quote page, or ask Rex and confirm the email on its card. Customer messages go by email, so to text a quote, copy its link and send it yourself.

How many messages can I send Rex each day? It depends on the plan. The whole shop shares 50 Rex messages a day on the trial and on Wraptor Starter, 150 on Wraptor Shop and 400 on Wraptor Fleet, and a confirmed card counts as one. Rex doesn't spend AI credits, and the count resets at midnight UTC.

Can my installers use Rex? Only if their role has the AI Assistant permission. The built-in Manager and Designer roles have it, while Production and Installer don't. Even with it, Rex only reads what that person's role can open.

Will Rex follow instructions written in a customer's email? No. Emails, customer replies, lead messages, proof comments, job notes and uploaded documents reach Rex as information, not instructions. Only the person in the chat can ask for an action, and even then the card waits for Confirm.
