Print products — set up a catalog once, price by the quantity

Who it's for

Owners and managers set up the print catalog under Money → Quote Settings (Settings permission). Anyone who quotes (Billing & Quotes permission, Designers included) picks from that catalog on a quote.

Where it fits

A shop that sells print turns on Print & signs under Shop → Shop Standards → What you sell (print and sign shops get it at sign-up). It is a service of its own: a chip on the New Quote sheet, a tab under Materials, labor & add-ons, its own New quotes open as picker, the quote titled Print order when you leave the title blank, and customers read "your order" rather than "your wrap".

A quote on Print & signs opens in Per unit pricing with the Print products & catalog panel already open. It never opens the vehicle estimator, and no vehicle is asked for. A wrap or other-work shop doing an occasional banner sees a Print products chip under "What are you doing?" instead; it opens the same panel on an Other work quote. On an existing draft, choose Pricing → change → Per unit; the confirmation explains which previous pricing will be replaced.

The print catalog (Quote Settings)

Open Money → Quote Settings → Materials, labor & add-ons → Print & signs. The tab has two parts:

  1. Print catalog — the products your print quotes start from: size, material, selling rates, quantity breaks and finishing, set once.
  2. Per-item add-ons — your price list for the lines that go around a product (design time, installation, rush, delivery). Its Load starters adds those items at $0 and switched off, as on every other service tab.

Each catalog row shows the name and a summary such as "$25.00 each · 4 quantity breaks · Trim to size". A two-sided product adds ", per printed side". A product with no rate reads Not priced.

  • Load starter catalog adds the five starter products — banner, yard sign, contour-cut decal, poster and business cards — with suggested starting rates. They go after the products you already have. A name already in your catalog is skipped, so loading twice adds nothing ("Nothing new to add").
  • Add product opens a blank recipe in the Print catalog product sheet. Catalog name follows the product name until you type your own. Each name is used once; a repeat says "That name is already in your print catalog. Choose a new name."
  • Move up / Move down (the arrows) set the order. The quote panel lists your catalog in this order.
  • Edit (the pencil) opens the same sheet. Save to catalog saves it.
  • Delete (the bin) asks first: "Quotes that already use it keep their numbers."

A catalog product can be saved without a print rate. The sheet warns "No print rate at this quantity yet. You can save it; a quote needs a rate before adding it."

Catalog products hold no artwork, production notes or sign-offs. Their sheet shows Production allowances (bleed, spoilage, roll width) instead of the prepress checks.

Suggested rates

The five starters carry suggested US retail starting rates, so a new print shop can quote in its first minute. They are not your rates until you say so, and Wraptor labels them everywhere you see them:

  • "suggested — edit to your shop" on the catalog row.
  • "Suggested starting rates — edit them to your shop." at the top of the sheet.
  • suggested on the catalog tile in a quote's print panel, and suggested rates on every starter preset tile.

The catalog chip clears the first time you save that product with Edit → Save to catalog, changed or not. Reordering does not clear it. On a quote, a product added from a suggested tile or preset keeps a suggested rates chip in the panel until you reload the page. That chip is a reminder on your screen only: it is not saved, and the customer's quote prints the rates as they stand. Check them before you send.

Each starter also carries unticked options: pole pockets, wind slits and rope-reinforced hem on the banner; H-stake and corner grommets on the yard sign; application tape on the decal; photo paper, laminate and foam board mount on the poster; simple typesetting on the cards.

What new print and sign shops get

  • Picking Print production or Signs & graphics on the first-run picker, or Print & Cut or Signage on the setup checklist, fills an empty print catalog with the five starters.
  • Switching Print & signs on under What you sell does the same whenever it goes from off to on, again only while the catalog is empty.
  • A brand-new print or sign shop picked on the first-run picker, with no real jobs and nothing ticked yet, also gets Wrap and Print & signs ticked under What you sell. That puts the Print & signs tab and chip in front of it straight away.
  • Wraptor only ever fills an empty catalog: a shop that already has any print product gets nothing added. If you delete every product, the starters come back the next time you switch Print & signs on or change your shop type to a print or sign shop — and Load starter catalog brings them back any time.
  • A shop that already sold print before the catalog existed is not filled automatically. Press Load starter catalog.

On the quote: the print panel

Print products & catalog lists, in order:

  1. The products already on this quote.
  2. Your print catalog — one tile per catalog product, in your catalog order, with its summary ("$8.00 / sq ft · 3 quantity breaks"). Refresh re-reads the catalog. The link Manage your print catalog in Quote Settings ↗ opens the Print & signs tab (it needs Settings access).
  3. Starter presets — Banners, Yard signs, Decals, Posters and Business cards, each with suggested rates.
  4. Start from a blank recipe — your own product, size and rates.

Tapping any tile opens Configure print product with a fresh copy. Artwork, notes and sign-offs start empty. Change what this job needs and select Add to quote. A product needs a print rate above $0 at its quantity first: "Enter your shop’s print selling rate before adding this product."

Each product card shows its size, sides, material, ticked finishing (or "No finishing"), the product total, and the break it landed on ("10+ rate"). Configure edits it, Duplicate copies it with production details reset, and the bin removes it. The existing quote autosave keeps the products with the rest of the quote; use Save now to retry a failed save. A quote holds up to 20 print products.

Save this recipe to your print catalog at the bottom of Configure saves the size, rates, quantity breaks and finishing options under the name you type. Artwork, notes and sign-offs are not saved. It needs Settings access; without it the box says "Changing the print catalog needs Settings access." A catalog product can't be deleted from the quote panel — do that in Quote Settings.

Later catalog changes never reprice a quote you already built.

Pricing

Price by has three choices. The print rate is always per printed side.

  • Square foot — finished area (width × height, in sq ft) × quantity × printed sides × rate.
  • Linear foot (longest side) — the longest side in feet × quantity × printed sides × rate. This is the run length off the roll.
  • Each — quantity × printed sides × rate.

On top of the print:

  • Finishing options — each ticked option, by its own unit (below).
  • Setup / prepress fee — once per product.
  • Minimum product charge — if the product comes in below it, a separate Minimum order adjustment makes up the difference.

Amounts round to cents per charge. Print and the minimum adjustment follow the quote's materials tax rules; setup follows its labor tax rules; each finishing option follows its own Taxed as choice. The quote's tax and deposit settings still apply. Rate fields are selling rates, not costs or margin targets.

Quantity breaks

The print rate you type is the rate from 1 piece. Under Quantity breaks, Add a quantity break adds a lower rate that starts at a bigger quantity — up to five breaks, six rates in all. The first new row starts at 10 at your print rate; each one after starts at double your highest break, at that break's rate. You usually only lower a number.

  • Every piece is priced at the rate its quantity reaches. With breaks at 10+ and 50+, 25 yard signs are all priced at the 10+ rate.
  • Each break starts at a whole number from 2 to 100,000, and each needs its own starting quantity. Breaks sort themselves by quantity when you save.
  • The live preview names the break in use: "Print · 10 pcs × 1 side at the 10+ rate".
  • If a bigger quantity would cost less in total than the one quoted, the preview warns you — for example "10 would cost $150.00 — less than these 9 at $225.00." Customers see that on the ladder, so check your break rates.

The ladder your customers see

The preview's Customers also see line shows what prints under the product for the customer: the next two breaks above the quoted quantity, with the whole product's price at each — "25 for $275.00 · 50 for $450.00". Each price includes the print at that break's rate, ticked finishing, setup and the minimum, before tax and discounts.

Where it prints, under the product's line:

  • The customer's quote page on the itemized (classic) layout, on comparison quotes, on Good/Better/Best option cards, and on the add-on picker's rows.
  • The PDF on the classic and estimate layouts, comparison quotes included.

It does not print on the summary layout (web or PDF) or the estimate web page, which have no product rows. It never prints on invoices or the pay page.

The ladder shows only while the quote can still be approved: on your draft preview and on a sent quote that hasn't expired. Once the quote is approved, declined or expired, it is gone. A product with no breaks above its quantity shows no ladder.

Finishing options

Finishing is a list of checkboxes, each labeled with its price: "Pole pockets, top and bottom — $20.00 per piece", or "— included" at $0. Tick the ones this job needs.

Edit finishing options opens each option's fields (up to 12 per product):

  • Option name — what the customer reads.
  • Charged — per piece (× quantity), per sq ft (× the area of all pieces), per sq ft per printed side (× that area × sides), per ft of edge (each piece's perimeter × quantity), or once per product.
  • Rate.
  • Taxed as — Materials or Labor.

Add a finishing option adds a blank one; the bin removes it.

On the customer's quote, a ticked option with a price is its own line ("Banner · Pole pockets, top and bottom"). A ticked option at $0 has no line of its own: it rides in the product's description as "incl. Hem and grommets every 2 ft". Unticked options cost nothing and never print.

Products saved before finishing became checkboxes keep their price. Their lamination and finishing come back as ticked options.

What the customer reads

The product's first line is its specification: name · size · pieces · sides · material, plus any "incl." finishing. Then one line each for priced finishing, setup and any minimum adjustment. Quantity and dimensions are in the description; production notes, artwork names and sign-offs never are.

Bleed and spoilage increase the material planning estimate, not the billed area. Planning area does not include nesting, sheet yield or roll-edge loss.

Prepress handoff

On a quote, Production & prepress shows how many checks remain. Record the artwork filename/revision, then tick Bleed and trim size checked, Color and resolution checked and Customer approved this artwork revision. Changing the artwork, material, width or height, printed sides, bleed or roll width clears those three checks. So does ticking, unticking, renaming or removing a ticked finishing option. Quantity and rates do not.

Roll-fit checking allows rotation and includes bleed. A product wider than the roll in both directions is flagged for tiling or a wider roll. Use 0 for roll width on sheet-fed work.

Open Print prep opens Proofs on the Print Prep tab for PDF processing, tiling and cut files. The quote checklist is a staff record, not automatic file inspection or a production gate, and it does not sync the customer's approval from Proofs. Products follow the quote's draft-only editing rule; a sent or approved quote shows the saved checklist read-only.

Settings & permissions

  • Quote Settings → Print & signs (catalog add, edit, reorder, delete, Load starter catalog) needs Settings.
  • Reading the catalog on a quote needs Billing & Quotes or Settings.
  • Save to catalog from a quote needs Settings; the quote itself still saves without it.
  • Catalog names are unique per shop and shared by everyone on the shop.

Substrate cost and stock usage

In a recipe or a quote’s product editor, choose Substrate from inventory (optional) under production planning. Area stock uses the production area, including bleed and spoilage. Each or sheet stock uses one blank per finished piece, regardless of the number of printed sides. Use area stock when several pieces are nested onto one sheet. Whole-roll units are not supported; track that stock in square feet.

The product shows Substrate cost and margin after substrate below its selling subtotal. These are shop-only estimates at the current inventory cost. They exclude ink, finishing and labor; missing inventory is shown as unknown, not zero. Customer quote and PDF prices are unchanged.

With material tracking enabled, confirming the workflow’s material-use stage (normally Printing) creates a material plan from the latest approved quote’s selected option and deducts it through the job’s stock ledger. Multiple products using the same substrate are combined. Existing manual plans take precedence; the first generated plan is retained on retries and stage reversals. Review later specification changes in the job’s Materials tab. Missing or inactive linked stock and insufficient quantities block confirmation with an explanation.

The job’s P&L compares the approved specification’s estimated substrate cost with recorded usage. Actual usage is already included in Material Cost, so it is never counted twice. Both amounts use current inventory costs. Area reconciliation only adjusts area stock; each-based usage keeps its original units.
