Equipment — your machines, tools, and maintenance schedule in one place
Who it's for
Production staff and the owner or manager use Equipment to keep a register of every machine (printers, plotters, laminators) and hand tool in the shop, track each tool's condition, and stay on top of preventive maintenance. When a recurring task like "clean the print heads" or "replace squeegee felt" comes due, it shows up here.
Where it fits
Equipment supports the production side of the shop. It isn't a stage in the job workflow, but maintained machines are what keep jobs flowing. The printers you register here are the same ones you log ink against in Inventory. See workflow-map.md and personas.md.
Overview
Equipment is a tab inside the Shop hub, and it holds three sub-tabs:
- Machines — your printers, plotters, and laminators, grouped by type. Printers also carry their ink channels.
- Tools — heat guns, squeegees, knives, and the rest of the installer kit, each with a category, quantity, and condition.
- Maintenance — recurring tasks tied to a machine or a tool, each with an interval in days and a next-due date, plus a running log of completed work.
The point is preventive care: define a task once with an interval, mark it done when you do it, and Wraptor reschedules the next due date and writes a log entry. Anything past its due date is flagged overdue on the Maintenance tab.
Screens & navigation
Equipment (/shop?tab=equipment)
Open Shop in the sidebar, then the Equipment tab. On mobile, Shop is either in the bottom bar or under More, depending on your role. The old /equipment address still works — it redirects here. Equipment opens on the Machines sub-tab.
- Machines — three buttons across the top add a Printer, a Plotter, or a Laminator. Below them, machines are grouped by type with a count: Printers (2), Plotters (1), Laminators (1). Each row shows the make you entered with the model underneath. Printers also show one colored dot per ink channel and a channel count such as 6 ch. Click a row to expand it: a printer lists its ink channels with a Reorder link where you saved one, a delete button per channel, and Add Channel. With no machines yet, the tab reads No machines yet with an Add a printer button.
- Tools — a count of your tools and an Add Tool button, then a card per tool showing its name, an x3 quantity marker when you keep more than one, its category, a condition chip, and any notes. An edit and a remove button appear on a card when you hover it.
- Maintenance — a summary line reading 2 overdue · 7 schedules (the overdue half only appears when something is overdue), an Add Schedule button, then one row per schedule: the task name, and under it the machine or tool, Every 30 days, and how it stands (Due in 12 days, Due tomorrow, Due today, 1 day overdue, 9 days overdue). Overdue rows carry a warning icon, a red tint, and sort to the top. Each row has a check button to complete it and a trash button to remove it. Below the schedules, Maintenance Log lists the last 50 completions, newest first.
Capabilities
Machines
- See every machine on the shop's register, grouped as Printers, Plotters, and Laminators.
- Add a machine by browsing a built-in list of makes and models, or by entering one yourself.
- Get a printer's ink channels filled in automatically when you pick a known model.
- Add an ink channel to a printer by hand, with a color name, a color, and an optional reorder link.
- Remove an ink channel, or remove a machine — each asks you to confirm first. Both are hidden rather than destroyed, so the readings and maintenance history behind them survive.
Tools
- Keep a list of installer tools with a name, category, quantity, condition, and notes. This is a register, not stock control — there is no stock level, low-stock warning, or reorder link on a tool. Consumables you reorder, including the blades and squeegees you burn through, belong on the Supplies tab in Inventory, which carries all three.
- Categories are Heat Gun, Squeegee, Knife / Blade, Thermometer, and Other.
- Conditions are Good, Fair, and Replace.
- Edit any tool's details or quantity, or remove it (hidden, not destroyed).
Maintenance schedules
- Create a recurring task and attach it to a machine or a tool.
- Set the interval in days; Wraptor sets the first due date that many days out.
- Complete a schedule — this stamps the last-completed date, pushes the next-due date forward by the interval, and adds an entry to the maintenance log, with an optional Performed by name and notes.
- Remove a schedule. That is permanent, but the log entries it already wrote stay.
Maintenance log
- Read the last 50 completions, newest first, showing the task, the machine or tool, who performed it, and the date. Notes are saved with the entry but aren't printed in the log line, so put anything the next person must read in the task name.
Overdue tracking
- Any schedule whose due date has arrived or passed is counted as overdue and flagged on the Maintenance tab.
- Overdue maintenance is shown here and nowhere else. Wraptor does not email you about it, ring a bell, or add it to the daily checklist at Home → Today — someone has to open the tab.
Step-by-step tasks

Add a machine
- Go to Shop → Equipment and stay on Machines.
- Click Printer, Plotter, or Laminator. The Add Equipment dialog opens on that type, and the pills at the top let you switch.
- Search makes and models, or pick a make and then a model from the list. If yours isn't listed, use Enter manually, or the Other … model row shown inside a make.
- Check the Make and Model fields — Make is what shows as the machine's name in the list, so put the name you call it by there. For a known printer model you'll also see an Ink Channels preview.
- Click Add Printer (or Add Plotter / Add Laminator).

Add an ink channel to a printer
- On Machines, click the printer to expand it.
- Click Add Channel. The Add Ink Channel dialog opens.
- Fill in Color Name, pick the swatch under Color, and paste a Reorder URL if you have one. That link becomes the Reorder shortcut on the channel.
- Click Add Channel to save. Log the actual levels from Shop → Inventory → Ink.

Add a tool
- Switch to the Tools sub-tab.
- Click Add Tool.
- Enter a name, pick a category, set the quantity, and pick a condition. Notes are optional.
- Click Add Tool to save.

Set up a recurring maintenance task
- Open the Maintenance sub-tab.
- Click Add Schedule.
- Choose Machine or Tool, pick the item from the Equipment list, name the Task (for example, "Clean print heads"), and set Repeat every (days). It starts at 14.
- Click Create Schedule. Wraptor sets the next-due date that many days from today.

Mark maintenance done
- On Maintenance, find the schedule and click its check button.
- In Complete Maintenance, fill in Performed by and Notes if you want them on the record. Both are optional, and only Performed by shows in the log afterwards.
- Click Mark Complete. The row's next-due date jumps forward by the interval and a line lands in the maintenance log.

Catch up on overdue maintenance
- Open Shop → Equipment → Maintenance. Overdue schedules sit at the top in red.
- Complete each one. That clears the flag and resets the schedule.
Settings & permissions
Who can see and use Equipment
Equipment uses the same permission as Inventory — it has no permission of its own. The Inventory permission is held by the Manager and Production roles by default; Designer and Installer don't have it, so the Equipment tab doesn't render for them. To give another role access, add the Inventory permission to it in Shop → Team → Roles & Permissions.
The other place machines appear
Settings → Equipment shows the same machine register, but only the printers — plotters and laminators are left out of that list. The complete register is the Machines sub-tab here. Settings needs the Settings permission, which production staff don't hold by default, so treat Shop → Equipment as the shop's register.
Plan availability
Equipment is open on every plan and during the 7-day free trial. There is no maintenance add-on, and no cap on how many machines, tools, or schedules you keep. See Plans.
Tips & common pitfalls
- Equipment lives under Shop. It is not its own sidebar item. Go to Shop → Equipment. Old
/equipmentbookmarks redirect there. - Machines can't be edited. There is no rename or edit control on a machine — only add and remove. If you typed the wrong make or model, remove the machine and add it again. Its old maintenance log entries stay under the old name.
- Ink levels are logged in Inventory, not here. The Machines sub-tab shows a printer's channel colors and channel count. The actual levels, the low-ink badge, and the 30-day history live at Shop → Inventory → Ink, behind Log Levels.
- Removing a machine or tool leaves its schedules behind. Removing hides the item from Machines or Tools, but any maintenance schedule attached to it stays on the Maintenance tab. Delete those schedules yourself.
- Completing a task reschedules it. Marking a schedule done pushes the next-due date forward by the interval automatically — you never edit dates by hand. If a task looks overdue but shouldn't be, complete it rather than recreating it.
- Due today already counts as overdue. The red count includes schedules due today, not only ones that have slipped.
- Nothing chases you. Overdue maintenance appears on this tab only. Build the check into your daily open so someone actually looks.
