How to Quote a Vehicle Wrap in Wraptor: From Year, Make and Model to an Approved Quote

Set up Quote Settings once, then quote a wrap from the vehicle in Wraptor: measured square footage, add-ons, Good/Better/Best options, Send quote or Copy link, online approval and reminders.

How to Quote a Vehicle Wrap in Wraptor: From Year, Make and Model to an Approved Quote

To quote a vehicle wrap in Wraptor, set your films, labor rates, waste and deposit once under Money → Quote Settings, then go to Money → Quotes → New Quote, pick the customer, tap Wrap, choose the vehicle and press Start quote. The quote opens already priced on Estimate by area, with the square footage filled in when the vehicle matches one of the 2,232 measured vehicles in Wraptor's dataset. Check the coverage, film and labor, add optional add-ons or Good/Better/Best options, then click Send quote: the customer approves on a no-login link, and the approval creates the job.

The short version

  • •Set up once, inherit everywhere. Films, labor rates, waste, deposit, tax and terms live in Money → Quote Settings, and every new quote copies them.
  • •The vehicle drives the area. Square footage comes from Wraptor's measured-vehicle dataset, matched on year, make, model and the Wheelbase line.
  • •Every number says where it came from. Area, hours and rates each carry a source line, and none of that working-out reaches the customer.
  • •Offer a choice on one link. Optional add-ons the customer ticks, or up to three Good/Better/Best options, but not both on the same quote.
  • •SENT means delivered. Send quote marks a quote sent only after the email goes out; Copy link and I shared it another way cover text, phone and in person.
  • •Follow-ups are opt-in. Quote reminders and win-back stay off until you switch them on, and they only run for quotes sent by email.

Why the quoting workflow matters

Every wrap quote follows the same chain: identify the vehicle, measure the surface, pick coverage and film, add labor and waste, present it, get a yes, collect a deposit. What your film and labor should cost is covered in how to quote a vehicle wrap. The workflow problem is the handoffs, tape measure to spreadsheet to PDF to email to job ticket, where numbers get retyped and quotes go quiet. Wraptor keeps the chain on one quote page. Quoting is open on every plan and during the trial, with no caps.

Step 1: Set up Quote Settings once

Shop → Shop Standards decides what you sell; Money → Quote Settings decides how it's priced and how new quotes behave. Both need the Settings permission.

Choose your services

In Shop → Shop Standards → What you sell, tick Wrap plus anything else you sell (Window tint, PPF, Print & signs, Other work, or a service of your own via + Add your own). Those chips become the service choices on every new quote.

Add your films and roll costs

  1. 1.Open Money → Quote Settings → Materials, labor & add-ons → Wrap → Add film.
  2. 2.Pick the film with Choose vinyl from inventory and, if you laminate, Laminate (optional), or use Or start from a material preset.
  3. 3.Enter Width (in), Length (ft) and Cost per roll, then press Save roll cost. A 60-inch by 150-foot roll is 750 sq ft; at $750, that's $1 per sq ft of cost.
  4. 4.Enter Charge for vinyl / sq ft and Charge for laminate / sq ft, the combined rate the estimator charges. Saving a roll cost never sets a markup.
  5. 5.Press Add film, and star your go-to film to make it the default.

Set your labor rates

  1. 1.Below materials, open 2. Labor rates. Shops start with Design, Production and Installation.
  2. 2.Rename or add rows, pick Per hour, Flat fee, Per sq ft or Per panel, and enter your rate and default hours or panels.
  3. 3.Tick Hours come from the vehicle on the install row and On new estimates on every row a new quote should start with.
  4. 4.Press Save labor.

Add per-item extras

Under 3. Per-item add-ons, add shop supplies, design fees or removal with a price, unit and tax basis. On every new [service] quote adds an item automatically; Customer can add this makes it an optional add-on.

Press Save quote defaults and Save tax & region. Set a tax rate (or We don't collect sales tax → Confirm no sales tax) before your first real quote. Changes apply to new quotes; Re-run estimate pulls current rates into an open draft.

Bottom line: one film, your real labor rates and a tax rate are enough for an accurate first quote. The quote setup manual covers every field.

Step 2: Start the quote from the customer and the vehicle

  1. 1.Go to Money, click the Quotes tab, then New Quote.
  2. 2.Who is it for? Search your customers, or tap New customer for a name, email and phone.
  3. 3.What are you doing? Tap Wrap (pre-selected if it's all you sell).
  4. 4.Vehicle — optional: search the customer's vehicles (On file) or the catalog, or add a custom vehicle.
  5. 5.Press Start quote.

The quote opens as a DRAFT titled "Vehicle wrap", carrying your standards and any On every new quote items. A website request-a-quote submission lands as a job in your LEAD stage instead; build its quote with Build Quote on the job's Quotes tab.

Step 3: Know which pricing mode you're in

The Price card's header reads Pricing: Flat price, Per unit or Estimate by area. The mode comes from New quotes open as; on Decide for me, a wrap quote opens on Estimate by area whenever you have at least one film saved, otherwise on Flat price.

ModeUse it forWhat you do
Flat priceOne number for the whole job, no measurementFill in What are you quoting?, Price, optional What's included lines and This price is, then press Save price
Per unitPriced items: windows, packages, each, hoursTap chips under Add from your items, edit any line or Add a custom line; it saves itself
Estimate by areaWraps priced from the vehicle's surfaceCheck coverage, area, film, labor and waste; it saves itself

On a draft, · change beside the header switches modes and names exactly which rows the switch will drop. The quotes manual documents every panel.

Step 4: Check the square footage and where it came from

On Estimate by area, the Area is the number everything else multiplies, so read the line under it first.

Source lineWhat it means
"PVO measured"Matched to a vehicle in the measured dataset; a green badge names it
"your saved measurement"Your shop measured this make, model and configuration before
"measured by hand, not a PVO measurement"Measured in the Measure tool on this quote
"typed, not measured"Someone typed over the number

The match uses the year, make, model and the vehicle's Wheelbase line, which must name the body, not just the length: 148" High Roof T-250, not 148" alone. When it's ambiguous, Measure asks Which configuration is this vehicle?; that pick prices this quote only, so put the configuration in Wheelbase to answer it once. When the vehicle isn't in the dataset, Measure takes the body class, dimensions and panels, and saving the quote stores the measurement for next time as Use your saved measurement.

The shop-entered square footage on a vehicle record prices nothing, so fix a wrong area on the quote. See the vehicles manual and vehicle records, including VIN decode.

Coverage, film, labor and waste

  • •Coverage: Full wrap, Three-quarter or Custom. Switching re-reads the area and install hours, leaving anything you typed.
  • •Film: one chip per film on your rate card, the default marked Default ✓. Tapping one snapshots its rates onto this quote.
  • •Labor: your rows, each showing quantity × rate and where both came from. A rate you never set reads "default — set yours". Install hours come from the vehicle's measured range ("12 hrs — PVO measured") or a body-class table. A row left at 0 never reaches the customer.
  • •Material waste allowance: its own visible line, worked out on the film and laminate.

Material is square feet × (film + laminate rate), labor is quantity × rate, and waste is your percentage of the material. The panel saves itself as you type, and the Quote total, before tax comes from the same engine that writes the customer's lines.

Bottom line: when the area says "PVO measured" and no rate says "default — set yours", the estimate is built on your numbers.

Step 5: Add add-ons or Good/Better/Best options

A quote can offer the customer a choice in one of two ways, never both.

Optional add-ons

On the Lines card, click Add a line and tick Optional add-on — the customer can tick it for extras like a ceramic coating or a rush fee. The customer sees them unticked under Add to your quote, and the total and deposit update as they tick.

Good/Better/Best options

On a priced draft, open Advanced under the price panel and tap Add an option. Your price becomes Good, starred as Recommended, and a copy named Better appears; change its film, coverage or price, and Add an option again for Best. Rename, Recommend and Remove manage them. The customer picks from cards, and the approve button names the option, price and deposit.

Step 6: Check the Details card, then preview

Open Details for anything that should differ on this quote: Deposit, Valid until, Tax (Standard, Custom rate or Exempt), Notes, Terms, Attn, Document layout and colors, and Vehicle. Then use PDF or Actions → Preview as customer to see exactly what the customer gets.

  1. 1.Click Send quote to open the Send SO-x sheet.
  2. 2.Check To, and type an address if none is on file.
  3. 3.Add a Personal note if you want, and decide on Follow up automatically if they don't open it.
  4. 4.Open Preview email to see the exact message, then click Send email.

Copy link alone doesn't change the status. Wraptor won't send a quote with no price or nothing but optional add-ons, and it flags a 0% tax rate, a labor-only wrap or a missing valid-until date without blocking you.

The customer's page needs no login. It shows your logo, the lines and totals (or option cards) and a sticky Approve Quote button that names the deposit ("Approve — $500.00 deposit due"), plus Ask a question or request a change and Decline this quote. You get a bell when they first open it, and a Viewed N× chip.

When they approve, Wraptor creates the job and shows them Thanks — here's what happens next: a Pay deposit button when a deposit invoice exists, your payment instructions otherwise, Open tracker for their live job tracking page, the PDF and your phone number. To have the deposit invoice raised for them, set Request the deposit automatically when a customer approves online under Quote defaults.

A yes on the phone goes through Mark approved: answer How did they say yes?, choose what happens with the deposit, and press Approve & create job.

Step 9: Keep sent quotes from going cold

  1. 1.Go to Settings → Customer messages.
  2. 2.Switch on Quote reminders: a nudge when a sent quote is still unopened after a day, and another when it was opened but unanswered after three. Ticking Follow up automatically if they don't open it in the send sheet flips the same switch.
  3. 3.Switch on Win-back at 30 and 60 days for quotes that went quiet. It never touches a declined quote.

Reminders stop when the customer approves, declines or replies, or the quote expires. Both engines wait out quiet hours and run only for quotes sent by email; Actions → Pause follow-ups stops them on one quote. Quotes they can't reach collect under the Follow up chip in Money → Quotes. The settings manual lists every customer message.

Run your next quote through it

Pick a vehicle you quoted recently, add one film and your labor rates, and quote it again; the source lines show exactly where the two numbers differ. Everything above works in the 7-day free trial, no card required, and the quotes feature page has the overview. If you'd rather walk through it with your own rate card, book a demo.

FAQ

How does Wraptor price a vehicle wrap quote? On Estimate by area, Wraptor multiplies the vehicle's square footage by your film and laminate rates, adds each labor row at quantity times rate, and adds your waste percentage of the film and laminate as its own line. Every rate comes from your Quote Settings, and each number shows where it came from. The customer sees the finished lines, not the working-out.

Where does Wraptor get a vehicle's square footage? From a bundled dataset of 2,232 measured vehicles, matched on year, make, model and the Wheelbase line that names the body configuration. The line under the area says whether it was measured, saved by your shop, measured by hand or typed. Square footage typed on the vehicle record is reference only and prices nothing.

What if the vehicle isn't in Wraptor's dataset? Open Measure on the quote and enter the body class, dimensions and panels, or type the area. When you save the quote, Wraptor stores the measurement for that make, model and configuration and offers it back on the next matching quote.

Does the customer need an account to approve a quote? No. The quote link opens a no-login page where the customer can tick add-ons or pick an option, see the deposit on the Approve Quote button and approve. Approval creates the job and shows the customer what happens next.

What's the difference between Send quote and Copy link? Send quote emails the customer and marks the quote sent only once the email has gone out, and automatic reminders can follow it. Copy link only copies the customer link for you to text or paste; afterwards, I shared it another way marks the quote sent with that channel. Reminders never run for quotes shared another way.

Does Wraptor follow up on wrap quotes automatically? Only if you switch it on. Quote reminders nudge a customer a day after an unopened quote and again three days after an opened but unanswered one, and win-back checks in at 30 and 60 days. Both are off by default, wait out quiet hours and only run for quotes sent by email.
